Job Description:

We are currently seeking a bright, highly motivated Documentation Specialist to join our Operations team in our Philadelphia, PA office.

The Documentation Specialist is responsible for managing all aspects of the vendor/customer relationship at the transactional level. The principal focus is on supporting the internal and external Salesforce in achieving sales goals through the building and maintaining of relationships with vendors and end-users, preparation and processing of lease transactions, and communication with our vendors, customers, management, and sales individuals. The Documentation Specialist will assist in the training and education of new members on leasing procedures and documentation.


  • The signing of lease documents by a designated signing authority

  • Timely input of new applications into the system

  • Timely preparation and/or review of documentation

  • Coordinate delivery and acceptance of the equipment and reconcile any issues prior to funding, obtaining any necessary change addendums to ensure correct documentation.

  • Verify that the appropriate pricing and profitability requirements are achieved

  • Timely filing of UCC's, initiate lien searches and site visits, as required

  • Provide proactive and accurate verbal and written communication

  • Facilitate problem resolution

  • Act as the primary liaison between customers and/or vendors and other departments in communicating our policy, facilitating transactional issues and requests as well as resolving issues.

  • Manage phone traffic.

  • Identify opportunities for organizational improvement and support organizational knowledge sharing.

  • Assist supervisor in the training and development of new employees

  • Assume job responsibilities for co-workers when they are out of the office

  • Maintain logs and reports

Job Requirements

  • Equipment leasing experience preferred

  • Strong PC proficiency

  • Mathematical Skills:Ability to calculate figures and amounts such as discounts, percentages, interest, and commissions. Knowledge of HP17B or HP12C and T-Value is a plus

  • Strong ability to communicate/build relationships with people

  • Ability to solve practical problems

  • Must be detail-oriented

  • Ability to work in a fast-paced environment and perform multiple tasks

As a member of this team, you will partner with both your direct teammates and members of every practice within Spencer Stuart. Key Relationships Reports to: Administrative Manager (solid line) Administrative Practice Leader (dotted line) Other Key Relationships: Assigned Mentor(s) Project Coordinators Consultants Associates and Analysts Administrative Staff Key Responsibilities Working as a part of a team supporting multiple offices and in accordance with the Firm's brand standards, support various teams by generating, editing and proof reading documents including presentations, proposals and engagement letters, surveys, and client correspondence across multiple platforms. Assist Project Coordinators with additional project tasks. * Establish an expert knowledge of the Firm's brand standards and writing styles. * Prepare, rewrite and edit client deliverables. * Proofread client deliverables to identify and correct errors in spelling, punctuation, syntax and format. * Verify facts, dates and statistics using standard reference sources. * Confer with management and editorial staff members regarding standards and best practices to ensure consistency across the entire editorial staff. * As necessary, confer with authors regarding changes in content, style or organization. * Utilize a variety of software including our proprietary database, cloud-based file management tools and Microsoft applications. * Assist with processing multi-step background check and education verification requests. * Process expense reports and candidate reimbursements. * Participate in ongoing skill-building opportunities. Ideal Experience * Advanced knowledge and experience using MS Word, PowerPoint, Outlook, and Excel. * Must type 70-plus wpm. * Strong knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition and grammar. * Strong grasp of Associated Press guidelines. * Demonstrated proofreading skills. * Basic knowledge of business terms and acronyms used in the various industries in which Spencer Stuart conducts business. * Demonstrated research skills. * A college degree in either English or journalism is strongly preferred.
