This position will be joining our growing Environmental Planning team of highly motivated and talent professionals, where the where the project work is both dynamic and plentiful!
Administers the document lifecycle for engineering and construction documents. Responsible for defining standards and workflows for document. Administers the collection, authorization, publication, storage and retrieval of documents. Manages document processes and systems to ensure control and availability. May provide training on documentation and record retention policies, records destruction, disaster recovery, procedures and instructions to site personnel.
Defines normal standards and workflows for document management as well as administers the collection, authorization, publication, storage and retrieval of documents.
Administers the document lifecycle (authors, approves, publishes, revises, retires, archives) engineering and construction documents and other business policies and procedures.
Prepares electronic document templates. Scans documents, updates procedures and creates documents as required.
Maintains the master electronic project files. Prepares records for inactive storage according to the Records Retention Schedule. Copies and scans documents as needed to perform distribution and storage duties.
Manages document processes and systems to ensure control and availability of documentation to site personnel.
May provide training to project personnel regarding document control and/or project management system use and procedures.
Reviews new and revised documentation for suitability and conformance to HNTB and client standards, including record retention.
Performs and/or supports regular audits of document control processes and procedures.
May provide training on documentation and record retention policies, records destruction, disaster recovery, procedures and instructions to site personnel.
Performs other duties as assigned.
Additional Responsibilities- Edits and formats content written by others for environmental reports, specifications, contracts, and requests for proposals, ensuring consistency in writing style and approach throughout various documents written by different authors.
Efficiently works in and formats a variety of client-specific templates. Creates macro-enabled document templates to requested specifications, using Microsoft Word.
Manages and coordinates production schedules to on-time, on-budget completion.
Sets up and maintains file structures and file-sharing sites. Ensures all produced materials are properly versioned and stored in appropriate location within designated drive or document portal (e.g., SharePoint)
Performs quality audits working with team members to verify compliance with stated requirements of project and company guidelines.
Prepares graphics as needed for reports and other documents. Basic Qualification Bachelor's degree in Engineering, Architecture, Construction Management, or Business 4 years related experience In lieu of education, 8 years project controls and/or technical administrative support experience Preferred Qualification/Skills- Previous environmental and engineering production and specification experience desirable.
2 to 5 years of experience in technical and/or nontechnical writing and publications.
Bachelor's degree in related field (Journalism, Communications, Public Relations, English) and equivalent work experience.
Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and Adobe Creative Suite (Acrobat, InDesign, Photoshop, and Illustrator).
Outstanding file management skills.
Exemplary proofing/editing skills.
Enthusiastic, resourceful, organized, and detail-oriented. General Work Conditions Office Environment: Work is generally performed in an office environment in which there is only minimal exposure to potentially unpleasant working conditions. Incumbent must have the ability to stand and sit frequently, and reach horizontally as well as vertically for overhead use.
