Basic Job Description:
The Document Control Specialist role focuses on maintaining and enhancing sitewide documentation processes in regards of fulfillment of internal and corporate level regulations. This person acts as a key person between quality department and all production and support departments. This role has effects on the processes of every production area from the membrane, spiral-wound elements, pleated filters to depth filters production.
Essential Functions
These duties and responsibilities are not exhaustive and will be supplemented as necessary.
Complete management of Quality Management System (QMS) at the Minnetonka site
Document management and input to QMS through Document Control (DCO) system
Daily screening for newly created documents site-wide, resetting to format criteria and uploading to QMS
Reviewing QMS database and updating expiring documents by checking for context updates with document owners
Controlling and keeping all production documents updated in QMS by regular communication to process owners about their teams' assigned documents
Ensuring all the documents satisfy the regulations from Veolia WTS corporate team and making necessary changes to the format, such as rebranding
Creation of QMS controlled documents, handing out completed documents to process owners by department and support physical auditing of use of controlled documents plantwide
Regular alignment and local adaption of corporate updates about systems and process changes of QMS
Supporting team members from all departments through document creation process
Auditing Lock Out / Tag Out (LOTO) checklists and completion records for all departments
Training completion and maintaining internal process auditor certificate, annual internal audit participation
Importing production document records to Minnetonka plant F&M Records site
Creating and sharing monthly trends of document completion results about DCO and LOTO activity in current year
Driving document control trainings for all employees and supporting QMS and generic quality trainings
Tracking year-over-year document activity and completion for all related QMS production documents and LOTO documents
Taking ownership of Quality related part of regular new employee orientation training
Observing and being mindful of all Environmental, Health, Safety (EHS) rules, including housekeeping practices
Completing all assigned training requirements
Performing additional duties within the scope of role assigned by the direct manager
Qualifications
Qualifications / Requirements:
High School Diploma / GED or equivalent
Minimum 3 years of experience in mass manufacturing environment
Excellent production document understanding (i.e. work instruction, process training instruction)
Strong experience of document management systems and processes, QMS, DCO or equivalent
Strong knowledge of LO/TO safety program
Strong working knowledge of MS Office Suite, Google Suite, MS Sharepoint and Gensuite program
Experience in manufacturing processes
Strong communication skills both verbal and written
Strong attention to detail
High ability to work independently
Desired Qualifications:
Associate level study in technical writing
Minimum 3 years of experience in document control or production auditing position
