The Document Control Specialist position works within our Enrollment Management team to serve as primary controller for document imaging, document intake procedures, and quality control checks on data, ensuring transcripts from incoming students are received and recorded accurately.
Essential duties:
Organize and manage the collection and distribution of incoming recruitment and admissions related documentation and information requests.
Scan and index admissions documents including received transcripts into the student information system using Application Xtender's document management software.
Download applicant electronic transcripts from electronic exchange websites including: Parchment, eScrip-Safe, National Student Clearinghouse, Royall, JointServices/ SMART, AARTS, World Education Services, Educational Credential Evaluators, AACRAO, Credentials Solutions, Cisco Registrar's Exchange, and National Transcript Center.
Review and certify secondary and post-secondary transcripts for accuracy and authenticity while applying and interpreting admissions and records policies in a variety of procedural situations.
Periodically perform quality control checks on data and document imaging process while preparing reports of the quantities of documents processed.
Provide excellent customer support and service to all stakeholders such as Regent applicants, Regent faculty and staff, representatives from external institutions, and vendors.
Assist with Commencement planning and activities.
Provide backup and assistance with scanning, indexing, record updates, and data entry projects as needed.
Qualifications:
Filing and basic computer data entry experience and typing skills of 40 wpm required
Knowledge of database management or willingness to learn
Understanding of FERPA guidelines as applied to college level students and ability to maintain student confidentiality as required by FERPA and other federal regulatory agencies required
