Document Control Group Lead

Level: Technically Experienced

Knowledge and Skills:

Working knowledge of engineering office environment, understanding of operating copier/scanner, filing, Microsoft Office computer skills, Microsoft Office O365, handling of engineering documents (Mechanical, Electrical, Structural, and Instrument) and Balance of Plant Vendor drawings (Process Coolers, Pressure & Separator Vessels, Manual Valves, Local Electrical Room, , Process Instrument, Vendor Data Books, etc.)

Plus:

  • Experience with common industry used Electronic Document Management Systems (EDMS): Synergis Adept a very strong plus.

  • Demonstrated ability to track multiple projects concurrently with each having certain customer specific requirements.

  • Knowledge of gathering, expediting, and assembling job book information for final data book.

  • Knowledge of creating and executing transmittals - both from in-house drawings and outside vendor drawings.

  • Knowledge of BaaN, and the ability to enter Request for Purchase documents into BaaN is a very strong plus.

  • Ensure each employee has the proper training and has demonstrated the needed competency for the roles they are required to handle.

  • Prioritize/administer group workload and for balanced approach.

  • Be focal point for receiving and solving group issues; internal and external.

  • Review, modify & create work processes associated with this group.

  • Facilitate resolution to group hardware/software problems; including forecasting future equipment needs.

  • Lead the administration of standard parts (Windchill software or equal) within the confines of the roles of the group. Limited Part creation.

  • Execution of department goals.

  • Determination if/when we use outside vendors for scanning, copying, etc.

  • Determine if current archiving processes are adequate.

  • Make suggestions to in place work processes that can enhance workflow, improve quality, reduce errors, improve velocity.

  • Work is performed without appreciable direction.

  • Completed work is reviewed from a relatively long-term perspective for desired results.

  • Failure to achieve results, erroneous decisions, or recommendations could cause delays to customer deadlines/deliverables for projects.

  • Represents the organization in providing solutions to difficult technical problems associated with specific projects/programs.

Qualifications:

  • 15+ years of experience as a Document Control Administrator

Expectations of this role are to provide secretarial and administrative support to one or more senior management positions. Duties include performing routine document control related task, managing team, with minimal supervision.</p><p>The selected candidate will have the opportunity to join a world class team and work in one of the largest brine beneficiation projects globally.</p><p>This is a flexible (Full time/Part Time) role with the opportunity to work out of several Advisian offices across North America depending on your location. As our ideal candidate for this dynamic and challenging role, your responsibilities will consist of the following tasks:</p><p>Overall Responsibilities and Key Accountabilities</p><ul><li><p>Prepare and manage Master Document Register (MDR) consisting of drawings, specifications, procedures and plans.</p></li><li><p>Review and file documents such as blueprints, drawings, change orders, and specifications to verify completeness and data accuracy.</p></li><li><p>Follow-up with all the reviewers to monitor and closure as per the schedule of due dates for drawings, specifications, software, technical manuals, and other documents.</p></li><li><p>Prepare and maintain a filing system in various collaboration platforms e.g. Aconex, SharePoint as per project requirements.</p></li><li><p>File, manage and distribute Customer &amp; Supplier issued documents as receiving, recording, and processing for internal and external organizations review and approval.</p></li><li><p>Manage the flow of correspondence in and out of Worley through proper transmittals; ensure outgoing documents are accurate, comply with company standards and policies, route correspondence to correct associates; and protect and secure confidential and proprietary information.</p></li><li><p>Review and verify project documents for completeness, format, and compliance with contract requirements.</p></li><li><p>Submit project documentation to project leadership group for their approval and transmit approved documents to customer.</p></li><li><p>Distribute documentation to the project team and customers for their review and comments.</p></li><li><p>Receive, distribute, and track comments received from customers.</p></li><li><p>Liaise with engineers, managers, customers, and other stakeholders to discuss the project, prepare documents, or modify contract schedules.</p></li><li><p>Liaise with document originators or engineer's liaison personnel to resolve discrepancies and compiles required changes to documents.</p></li><li><p>Update changes of computerized or manual control records; release documents and notify the affected departments.</p></li><li><p>Provide support to other departments within the framework of the project e.g. assisting flow of company info.</p></li></ul><p>Qualifications</p><ul><li><p>10 years of document management experience, of which at least 3 years should be as lead document controller on complex multi phase project.</p></li><li><p>Experience working with overseas offices and managing document control team.</p></li><li><p>Pro-active, goal oriented with excellent attention to detail.</p></li><li><p>Is aware of, adheres to, and supports all HSE policies and procedures.</p></li><li><p>Effectively manages change to work tasks and the work environment and assists others with adapting to change.</p></li><li><p>Able to identify issues, problems, and opportunities; make timely decisions; develop appropriate and innovative solutions; and ask for assistance if required.</p></li><li><p>Proficient with several software applications particularly Acconex, Teams, SharePoint, MS Office including Word, Excel, PowerPoint, Outlook, Visio, SharePoint. Ability to learn and use other common business applications.</p></li><li><p>Proficient written and verbal communication skills, including the ability to convey information and ideas to individuals and groups, and make presentations when required.
