The Document Control Clerk will work with the local engineering team to review and organize engineering drawings, and support the release of engineering/manufacturing documentation to production ensuring proper controls. The position will ensure all documents are filed in appropriate ERP system and SolidWorks PDM locations with appropriate status and access assigned. The ideal candidate will have a basic understanding of Engineering specifications, drawings, and Bills of Materials. User-level data management experience. Experience working in an Enterprise Resource Planning (ERP) system is required, including administration of system information for communicating Engineering designs to Operations. Experience administrating data in a multi-site ERP system and in SolidWorks PDM is a plus. The Document Control Clerk must have the ability to work autonomously under the supervision of the Document Control Manager, communicating with Engineering and Operations staff for planning and follow-up of project action items. The candidate must have acumen to recognize any unusual or uncertain data or procedure and validate correct course of action. The position requires good judgement and persuasive communication skills for obtaining timely project updates and necessary documentation approvals from employees at all levels of hierarchy (up to, but not including executive leadership).

RESPONSIBILITIES

  • Assign document numbers; Register new documents and revisions into the Engineering Document Management and ERP systems

  • Experience administrating data in a multi-site ERP system and in SolidWorks PDM is a plus

  • Must have acumen to recognize any unusual or uncertain data or procedure and validate correct course of action.

  • Maintain file management of structured electronic and hard copy libraries

  • Handle documentation for multiple projects concurrently and in an organized fashion

  • Track engineering project design data submittals to/from Engineering, Operations, and Quality staff and vendors

  • Work closely with Project Manager/Team Technical Lead to coordinate receipt of technical information

  • Ensure that the documentation is compliant with corporate requirements and all regulatory requirements

  • Ensure that the documentation is maintained according to Corporate, Site and Department requirements, as detailed in Standard Operating Procedures

  • Ability to communicate effectively with Engineering and Operations staff for planning and follow-up of project action items

  • Assist the Engineering Documentation Management Group with a variety of documentation-related tasks, including data entry, scanning, basic data analysis, system status changes

QUALIFICATIONS AND EXPERIENCE

Education and Experience:

  • Two-year technical degree (preferred)

  • Successful experience using PC computers in a networked system, and the following software applications skill levels:

  • Excel and Word: intermediate-to-advanced

  • Outlook: intermediate

  • PowerPoint, Visio, Project are a plus but not required

  • Microsoft Office 365:

  • Microsoft SharePoint: ability to navigate, upload and download files, and open files

  • Internet browser: ability to successfully browse and find information, and use URLs for application startup using Explorer, Chrome, or another browser approved by PAC IT

  • SolidWorks PDM 2017 and/or SolidWorks 2017 drafting application are a plus

  • Experience with user-level data management, and working in an ERP system is required.

  • The idea candidate will have a basic understanding of Engineering specification requirements:

  • Specification drawings that typically define fabricated parts and assemblies

  • Manufacture name and part number defining off-the-shelf parts

  • Good oral and written skills in meeting, message, and documentation communications and publications

  • Ability to work with team members in fast-paced, complex environment

  • Reliability to direct own work and complete requirements with minimal supervision

  • Detail-oriented with the ability and drive to follow up on outstanding tasks

Knowledge/Skills/Competencies:

  • Ability to administrate ERP system data including new object creation, queries, connections, coding, replications, uploads, and downloads

  • Ability to extract data from information systems using provided tools and import the data to Excel then create reports using sort and/or filter commands

  • Ability to use intermediate-to-advanced Microsoft Word commands for maintaining the command structures in established templates when revising manuals, including headers/footers, indents, styles, Track Changes, and more. Ability to create Table of Contents and Index is a plus.

  • Ability to manage Outlook multiple Inboxes and organize messages for later retrieval, and verify invitee schedules for meetings

  • Ability to read and interpret documents such as operating and maintenance instructions and procedure manuals. Good oral and written communication skills

  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Mechanical and electronic component familiarity for ability to categorize hardware is a plus
