Overview

Walsh is currently seeking a Document Control/Payroll Admin for the 207th Street Yard Project in the Inwood section of Manhattan, NY.

The Document Control/Payroll Admin assists and supports the project team on assigned projects. The position works under direct supervision, performs routine daily activities and gathers and distributes information. The Document Control/Payroll Admin must be a flexible and adaptable team-player, as well as have strong communication and client service skills.

Responsibilities

  • Working knowledge of CMiC, SharePoint, and Constructware (or similar project management software experience) for basic document control functions (training will be provided)

  • Supports the Project team with general administrative responsibilities including payroll processing, data entry, maintaining logs, preparing and maintaining training materials, and maintaining internal process documentation

  • Coordinates the printing and distribution process for engineering drawings and documents

  • Performs basic system maintenance and access requests

  • Develops and distributes meeting minutes and correspondence

  • Maintains both hard copy and digital files in a well-organized manner

  • Coordinates training, schedules meetings, invites attendees, and tracks training compliance

  • Obtains and organizes training records from subcontractors

  • Collects data along with related documentation for maintaining logs for secure information access

Qualifications

  • 0 - 3 years of industry experience

  • Computer knowledge and efficiency, including Microsoft Office products

  • Knowledge of document control standards

  • Strong organizational skills

  • Broad understanding of industry

  • Strong written and verbal communication skills

  • Functions effectively as part of a team

  • Dependability

  • Ability to maintain discretion and confidentiality at all times

  • Ability to understand and follow directions

  • Good time management skills and organizational skills

  • Experience with union payroll requirements

  • Familiarity with NYCT/MTA construction projects a plus

Successful candidates will manage document control and work flow processes on the owner's web-based project management system. Responsibilities: * Administer the document life-cycle (author, approve, publish, revise, retire, archive) for engineering and construction documents, including drawings, correspondence, procedures, and forms. * This function leads the collection, authoring, publication, storage and retrieval of documents. (replace previous statement w/this). * May provide training on documentation and record retention policies, records destruction, disaster recovery, procedures and instructions to site personnel. * Prepare electronic document templates. * Scan documents, update procedures, and create documents as required. * Maintain the master electronic project files. * Prepare records for inactive storage according to the Records Retention Schedule; copy and scan documents as needed to perform distribution and storage duties. * Ensure control and availability of documentation to site personnel. * May provide training to project personnel regarding document control and/or project management system use and procedures. * Review new and revised documentation for suitability and conformance to client standards, including record retention. * Perform and/or support regular audits of document control processes and procedures. Required Qualifications * Bachelor's degree in Engineering, Architecture, Construction Management or Business with (4) years related experience; in lieu of degree (5) years of experience in document controls and/or technical administrative support on a transit construction project required. * Experience with Microsoft Office (Outlook, Word, Excel and Access. * Experience in document management software (SharePoint, eBuilder, Documentum, ProjectWise, etc). Preferred Qualifications * Previous infrastructure project preferred. * Experience in processing RFP's (Requests for Proposals), Addendum's, ATC (Alternate Technical Concepts), Submittals, RFI's (Request for Information) and Change Management; including construction related processes and procedures as applicable. * This position is contingent upon contract award.
