Requisition Number: 28791 Job Title: _____ASSISTANT II Working Title: Document Assistant Salary: $20.27 - $28.78 hourly Job Type: Career Department Name: 5045-FINANCIAL AID AND SCHOLARSHIPS Department Website URL: https://www.financialaid.ucla.edu/ Job Summary Statement: Under the shared supervision of the Document Management Supervisor and the Director manage all aspects of document input and document processing. Review incoming financial aid documents, tax forms, letters, transcripts, and expense and resource statements to determine completeness. Using Federal, State, University, and departmental regulations and guidelines enter financial aid document status into the Financial Aid Management system (FAM). Determine need for additional financial aid documents by entering appropriate FAM mnemonic. Prepare documents for the imaging process. Major duties include sorting and routing of incoming mail, receiving and tracking a high volume of all incoming financial aid documents, and the ability to provide administrative support to the Director as needed which includes scheduling calendar and answering the Director's phone. Assist with correspondence of a "public response e-mail system," for parents, students, and staff to answer questions related to financial aid inquiry. PRIMARY FUNCTIONS: Provide word processing for specifications and contracts (AIA forms) to create Project Manuals and Office Master Specification and Provide administrative support to one or more Managers or Project Teams, including maintaing individual and project related schedules. TYPICAL DUTIES •Type project specifications and AIA contract forms using all aspects of the word processing system including spell check, editing techniques and program enhancements to maximize efficient use of the system. •Make typing revisions to specifications for revised editions (i.e. Addenda/Bulletins, Construction Issues etc.) including format revisions to pages as required. •Assemble Addenda, Bulletins and Construction Issues by obtaining the Project Master folder and pulling the corresponding front or back sheet master to maintain "two-sided" specification page formatting. •Type Office Master Specifications (used in reproduction of the ivory master "mark-ups"), using all aspects of the word processing system. •Whenever possible, proofread work directly from computer screen. When necessary, work with another processor to ensure accuracy. •Return typed, proofread specifications to author. •Advise Manager of Specifications of problems with workload, scheduling or equipment and software. •File Project Specification Masters after project is run for issue. Subsequent Addenda, Bulletins and Construction Issues shall be filed with Project Masters (in proper location to ensure Project Master folder is always complete and current. Previous issue Project Masters will be replaced by current versions and stored in the back of the Project Master). •Work with managers assigned to desk to become a valued team member. Develop good rapport and interaction with other staff and with the Company's clients. •Prepare a variety of documents; letters, reports, spreadsheets, memos, confidential material lists, etc. •Compile/prepare various reports for manager's use or distribution. Write reports, memos or letters for manager's signature or distribution. •Create and maintain filing system; maintain required records for manager and team. Maintain updated job log for desk. •Answer phones, screen calls, take and forward messages, answer routine questions and follow through on requests. Organize priority items for manager's attention.
