Reliant Medical Group is seeking a DME Customer Service Representative to join our exciting and innovative organization!

Position: Per Diem as needed

Hours: Monday through Friday 8:30-5:00 AS NEEDED

No Weekends, No Holidays

Receives and processes requests for Durable Medical Equipment and respiratory equipment, wound care supply, ostomy and urologicals from clinical staff, patients and customers. Responsible for recording order, verifying patient information, verifying insurance information and scheduling delivery according to Lakeview Medical protocol, and other related duties.


Places orders for appropriate equipment and supplies based on benefit eligibility guidelines of the patient's insurance company. Applies working knowledge of the guidelines for medical need and any payment policies of all contracted insurance companies.

Utilizes proper telephone techniques. Responds to all patient, staff and customer inquiries following established guidelines.

Processes add-on orders following delivery protocol and access standards as needed. Determines urgency of staff, patient and customer request.

Assigns order to proper delivery day. Confirms patient identification, eligibility and membership information. Confirms delivery/pickup location. Communicates routing instructions and directions of DME Technician.

Submits equipment authorization requests to appropriate insurance carrier. Assists in authorization/reauthorization process. Follows-through on patient terminations and equipment returns.

May enter, track & verify all supply orders in dedicated software program (s).

Ensures accurate coding and insurance guidelines met. Resolves discrepancies.

Performs cross-functional duties such as phone coverage for Customer Service and cash postings for Billing/Receivables Department as required or directed.

Complies with health and safety requirements and with regulatory agencies such as Community Health Accreditation Program, Department of Transportation, Federal Drug Administration, etc.

Complies with established departmental policies, procedures, and objectives.

Enhances professional growth and development through educational programs, seminars, etc.

Attends a variety of meetings, conferences, and seminars as required or directed.

Performs other similar and related duties as required or directed.

Regular, reliable and predicable attendance is required.


High School graduate or equivalent and one to three years' relevant experience. Customer Service experience/background.

Extensive knowledge of durable medical and respiratory therapy equipment required. Excellent telephone skills/familiarity with automated information systems. Excellent communication, organizational and interpersonal skills.

MINIMUM KNOWLEDGE, EDUCATION AND SKILL REQUIREMENTS: * Bachelor's Degree strongly preferred * 2+ years of supervisory experience, preferably supervising customer service and/or sales support functions * Proficient in Microsoft Suite * SAP/ERP experience strongly preferred * Call center or sales support experience strongly preferred * General materials management and order management knowledge preferred * Excellent communication skills required * Critical thinking skills, the ability to multi-task, and effectively prioritize work is required * Detail oriented and solid decision-making skills required DUTIES AND RESPONSIBILITIES: * Responsible for day-to-day personnel management activities including training, supervision, coaching, appraising performance, and discipline * Supervise the planning and allocation of equipment. * Help determine the optimal level of inventory by determining the amount of merchandise needed to achieve the targeted service levels. * Facilitate the order fulfillment process and customer service activities. * Help manage equipment sell-off, equipment rotation management, and inventory reporting. * Responsible for equipment lifecycle management. * Meet with internal customers on a regular basis to understand how best we can support their present and future business needs. * Work with Marketing and Sales to develop equipment sets as applicable. * Supervise the customer service call center for sample equipment. * Attend appropriate business related seminars and conferences to understand the latest customer service trends. * Publish monthly department reports. * Collaborate with the Logistics teams to support the needs of customers. * Provide Demand Planning with future inventory needs. #LI-ST1 Karl Storz Endovision Inc Auburn MA
