Nemours is seeking a Division Coordinator, Division of Hematology/Oncology in Wilmington, DE.

Primary Functions:

The Division Coordinator will provide administrative/secretarial support, and coordination of tasks/directly related to the functions within the Lisa Dean Moseley Foundation Institute for Cancer & Blood Disorders. Duties will include providing support to the Division Chief, coordinating meetings/events (to include both DE and FL locations), coordinating activities such as special projects, reports, presentations, travel requests, expense reports, purchase orders, and physician credentialing needs. This position will interact with Nemours senior leadership, Moseley Institute leadership, hospital and physician leadership at Nemours Children's Hospital-DE and throughout the enterprise.

Essential Functions:

  • Provides administrative support to the Division Chief, Pediatric Hematology/Oncology including the coordination of all activities related to committees, meetings, conferences, travel arrangements, etc.

  • Will also provide administrative support to the Medical Directors (Hemophilia, Sickle Cell, Transplant & Cellular Therapy (TCT), Outpatient and Inpatient) and providers within the Moseley Institute.

  • Working in coordination with the Graduate Medical Education (GME)/Fellowship Office on tasks including (but not limited to) scheduling fellowship interviews, meetings, talks, and education series.

  • Supports the credentialing process for providers.

  • Coordinate staff meetings, rounds, teaching conferences, etc. to include management of: minutes, meeting room reservation and preparation, attendance tracking, and scribing when needed.

  • Accurately prepare and process payment requests, dues/license payment and associate reimbursements.

  • Proactively identify problems and opportunities related to the missions of the Moseley Institute.

  • Maintain departmental records including files and electronic communications, database, spreadsheets, etc.

  • Prepare and organize interviews for department recruitment.

  • Kronos timekeeping for Moseley Institute associates.

  • Serves as primary contact/resource for facilities and IT/Communication needs.

  • Develop, update, and maintain educational materials as requested.

  • Maintain current and accurate project files.

  • Handle diversified duties and multiple open projects.

  • Ordering of supplies for the department to include office supplies, lab coats, business cards, cell phone upgrades, IT equipment, and other applicable items in Harmony.

  • Other duties as assigned.

Job Requirements:

High School diploma required.

Associate degree preferred

Minimum of 5-7 years progressive Medical Office experience
