The Iowa Department of Public Health is looking to fill a Division Assistant (Executive Officer 1) position to assist the Division of Tobacco Use Prevention and Control.
Under the supervision of the Division Director, job duties include but are not limited to:
Receive and screen visitors and telephone calls; answer routine questions and routing others to appropriate staff for handling.
Type and proof correspondence, reports, minutes, etc., for accuracy, grammar, spelling, sentence structure, and preparing final drafts for distribution.
Maintain subject matter files; research and summarize information from files; prepare non-standard reports as necessary.
Schedule appointments and conferences; arrange out-of-town travel. Assist in the planning, coordination, and promotion of conferences and events.
Relay general information and messages. Contact others to collect and consolidate data.
Develop a broad knowledge of agency programs and clients.
Independently research and respond to questions from agency constituents and other staff. Accurate responses to questions are essential and, before responding to questions, must ensure that responses will reflect the philosophy of the division and the agency.
Respond to inquiries and correspondence and provide information to constituents.
The Division Assistant needs to have exceptional knowledge and experience in customer and clerical procedures. The Division Assistant will work in a team environment and complete responsibilities accurately and on time with minimal supervision.
Functions and communicates in a professional and courteous manner at all times with staff, clients, internal and external customers, and partners. Must have excellent verbal and written communication skills; organizational and coordinating skills; and able to multi-task. Familiarity with legislative and administrative rules process.
Work schedule is 8:00 am to 4:30 pm, Monday through Friday.
Applicant must pass background check prior to employment. Minimum Qualification Requirements
Graduation from an accredited four-year college or university and the equivalent of three years of full-time professional level experience such as program administration, development, management or operations;
substitution of experience of the caliber and scope indicated above for the required undergraduate college education on the basis that one year of qualifying experience is equivalent to one year of undergraduate education;
graduation from the Iowa Certified Public Manager Program may substitute for one year of education or one year of experience;
substitution of twenty-four hours of graduate level course work in a special program curriculum such as Social Work, Law, Education, Engineering, or Public or Business Administration for each year of the required experience to a maximum substitution of two years;
employees with current continuous experience in the state executive branch that have the equivalent of six years of full-time qualifying experience and education shall be considered as qualified.
