Clackamas Community College (CCC) seeks to hire a full-time Diversity, Equity, and Inclusion Coordinator position in the Diversity, Equity, and Inclusion department. PURPOSE OF POSITION:

The Diversity, Equity, and Inclusion (DEI) Coordinator position promotes and integrates the services of the Diversity Equity, and Inclusion Office as well as the College's strategic and operational objectives in the following ways: plans, develops, coordinates, and provides oversight towards diversity, equity, and inclusion that support employee and organizational advancement, engages staff, and creates a sense of belonging and support. The DEI Coordinator will collaborate with others at all levels of the organization and with external stakeholders. The person in this role will act as a resource from the Diversity, Equity, and Inclusion Office to provide DEI-centered learning opportunities; resources, facilitation, and support team development. The DEI Coordinator provides administrative support to the Chief Diversity, Equity, and Inclusion Officer and the Program Manager. Event coordination, project coordination, learning opportunity coordination, and ensuring compliance with the college's contracting and purchasing rules are also important aspects of this role.

ESSENTIAL JOB FUNCTIONS:

The following tasks are typical for positions in this classification. Any single position may not perform all of these tasks and/or may perform similar related tasks not listed here:

  • Project, Event and Training Management, Coordination and Support (30% of Time)

  • Manage and support a multitude of events, ensuring each event is executed successfully. Requires collaboration with a diverse customer base as well as internal and external partners.

  • Utilize multiple systems to help design, communicate and input detailed event information. Generate and assign work as needed relating event logistics to other departments/groups.

  • Incollaboration with the Contracts Administrator, determines appropriate type of contracts for services, prepares contracts and scopes of work, oversees and monitors contacts primarily related to hiring consultants, speakers, entertainers, and trainers; interprets and ensures compliance with the college's contracting and purchasing rules.

  • Assess learning/growth needs; design, support, and implement training/educational opportunities in collaboration with internal and external stakeholders.

  • Manages customized training requests, including a full intake process, calendaring, and coordinating supplies for the day of the training.

  • Assists in the facilitation of training for students, staff, and faculty.

  • Arranges training registration; sends confirmation and calendar invitations to participants; tracks and reports attendance to ensure the college receives full-time equivalency when appropriate.

  • Assists with specific tasks within larger events or training, including scheduling rooms, communicating with constituents, marketing for events, and participation in the setup and cleanup of events.

  • Creates marketing strategies by collaborating with College Marketing and Creative Services to expand our visibility within the community and beyond. Creates mockup of new materials for Creative Services to brand.

  • Conducts preliminary research for a multitude of projects as needed.

  • Maintains cooperative and collaborative working relationship with college staff, other organizations, and the public.

Administrative Duties (40% of Time)

  • Servesas front desk attendant and first point of contact for the Diversity, Equity, and Inclusion Office. Via written and verbal communication, creates a welcoming atmosphere and provides excellent customer service as the Office's representative in all interactions with external colleagues, college employees, students, contractors, and the general public. Effectively communicates with a wide variety of constituents at various points in their learning journeys about diversity, equity, and inclusion. Knows when to bring in the Chief Diversity, Equity, and Inclusion Officer or Equity and Inclusion Program Manager for support with a constituent.

  • Providesprimary meeting support to several college committees; coordinates meeting and event logistics; makes room reservations; drafts and sends agendas and notices pre- and post-meeting; verifies reservations and attendance; prepares meeting materials; arranges for special equipment, materials, and food services; prepares meeting notes/summaries; updates webpages.

  • Assiststhe Chief Diversity, Equity, and Inclusion Officer and Program Manager with the implementation of the college's Diversity, Equity, and Inclusion strategic priority and the Diversity, Equity, and Inclusion strategic plan through project management tools such as project management software systems and regular check-ins on plan progression.

  • Providescomplex, often confidential, administrative support to the Chief Diversity, Equity, and Inclusion Officer and Program Manager, including managing phone calls, written communication, and problem-solving complex issues.

  • Conducts a preliminary assessment of inquiries to prioritize work and to determine who is best positioned to respond. Researches, answers, and resolves inquiries via telephone, email, and from walk-in guests. This includes daily monitoring of the diversity email account and training request forms.

  • Participates in departmentaland college-wide meetings as necessary.

  • Assists in the facilitation of training for students, staff, and faculty.

  • Utilizes word processing, spreadsheet, presentation, Microsoft Teams, and other software applications to perform tasks (such as scheduling and logistics) and generate materials (such as meeting agendas, notices, project plans, timelines event planning materials) as requested.

  • Performs complex calendaring and travel arrangements, including calendaring for people with a variety of constituents and tight schedules.

  • Ensures confidentiality and compliance within Clackamas Community College and to Chief Diversity, Equity, and Inclusion Officer guidelines. Manages Diversity, Equity, and Inclusion Office records per state records retention schedule.

  • Prepares and tracks the Diversity, Equity, and Inclusion Office's annual budget; shops for programming needs; processes receipts; arranges travel; and prepares quarterly and annual reports through the use of Profix and other budget software resources.

  • Handles purchasing, bill paying, credit card reconciliation, travel reimbursement.

  • Prepares work orders, orders office supplies, opens and distributes mail.

Communication (30% of Time)

  • Accurately writes, edits, and communicates, often confidential messages, on behalf of the Chief Diversity, Equity, and Inclusion Officer and Program Manager.

  • Develops written communication and materials relating to services, events, and projects. This includes creating marketing material through correspondence with the College Relations and Marketing Team that accurately represents the services and events the Diversity, Equity, and Inclusion Office provides.

  • Creates and edits Microsoft PowerPoint presentations in collaboration with the Diversity, Equity, and Inclusion Officer and Equity and Inclusion Program Manager for various initiatives, events, and committees.

  • Research and authors various documents such as scopes of work, instructions, policies, and procedures for campus-wide use.

  • Conducts preliminary research for office projects as needed.

AUXILIARY JOB FUNCTIONS:

Assists College personnel as workload and staffing levels dictate. Maintains proficiency by attending training and meetings, reading materials, and meeting with others in areas of responsibility. Maintains work areas in a clean and orderly manner.

Qualifications

REQUIRED QUALIFICATIONS:

A Bachelor's Degree in sociology, psychology, management, project management, organizational leadership, office systems, or a related field. OR an Associates Degree in sociology, psychology, management, project management, organizational leadership, office systems, OR a related field and two years of directly related administrative or direct DEI experience. OR Any equivalent combination of education and experience that provides the knowledge, skills, and abilities required to perform the duties as described.

PREFERRED QUALIFICATIONS:

A Bachelor's Degree in sociology, psychology, management, project management, organizational leadership, or in a related field and 3 years of directly related administrative experience.

Other Job Elements

WORKING CONDITIONS:

The position requires minimal (20-40%) ability to use dexterity and fine motor skills to assemble, build or repair machines or other objects. Frequent (51-80% of the time) use of office equipment.

The position requires minimal (10-40%) physical effort such as lifting, carrying, movement, etc. Movements required to complete work are not difficult and only require some degree of agility and hand-eye coordination.

The work environment is usually well-protected, with minimal hazards or obstacles (5-20%). There is little or minimal element of personal risk or hazard. Job conditions are usually comfortable, with minimal (5-20%) issues ofconfinement, temperature change, incidents of noise, or interactions of a disagreeable nature, inside/outside work, dirty conditions, exposure to contagious disease, etc. Position may have minimal responsibility for driving.

Hours may occasionally be adjusted to meet the needs of employees, outside colleagues, and events. The incumbent should expect occasional (20-30%) early morning, evening, and weekend meetings, and occasional (20-30%) travel that requires the use of a personal vehicle to commute inside and, occasionally, outside of Clackamas Community College for meetings, networking opportunities, and events.

SUPERVISORY RESPONSIBILITIES:

Supervision of others is not a typical function assigned to this position. The incumbent may provide training and orientation to newly assigned personnel and assign work to student workers and interns.

SUPERVISION RECEIVED:

Works under the general supervision of the Program Manager and Chief Diversity Equity and Inclusion Officer.

TERMS OF EMPLOYMENT:

  • This is a full-time position that will work primarily in-person, with the potential to work a hybrid schedule based on student demand and staffing needs.

  • Requires flexible work schedule to meet department needs, which may include evenings and/or weekends.

  • Employees must maintain Metro Portland, OR or Vancouver, WA residency as a condition of employment.
