DEFINITION

Under direction, performs routine purchasing of supplies, equipment and services required by the District; directs Purchasing Department in the absence of Purchasing Agent.

DISTINGUISHING CHARACTERISTICS

This is a single position class characterized by the responsibility to independently perform detailed work concerning procurement of material and services; coordinates the work of others assigned to Purchasing. The District Purchasing Assistant serves in an advisory capacity to other personnel in matters related to purchasing.

EXAMPLES OF DUTIES

Duties may include, but are not limited to, the following:

1.Confers with school and departmental employees to determine purchase needs and specifications.

2.Examines requisitions, adds relevant data and revises requisitions to expedite delivery.

3.Assists in preparation and revision of warehouse Stock Catalog.

4.Orders and maintains required levels of inventory for district warehouse.

5.Observes federal, state, county and district laws, policies, rules and regulations related to purchasing.

6.Locates sources of supply, compares costs and evaluates quality and suitability of supplies, materials and equipment.

7.Keeps abreast of current and long-range market trends and probable availability of materials and supplies.

8.Drafts specifications and bid documents.

9.Analyzes bids and quotations; makes recommendations on awarding contracts.



  1. Provides vacation and temporary relief as required.

  2. Performs other related duties as assigned.


MINIMUM REQUIREMENTS

Knowledge of:

  • Modern purchasing methods and procedures including determination of product suitability and quality;

  • Stock control and inventory methods;

  • School equipment and supplies;

  • Follow-up procedures and vendor contact.

Ability to:

  • Communicate orally or in writing with vendors and staff;

  • Maintain accurate and correct purchasing records;

  • Examine and evaluate products and service;

  • Plan and schedule purchasing for optional effectiveness and efficiency;

  • Understand and carry out oral and written directions;

  • Establish and maintain cooperative and effective relationships with those contacted during the course of the working day.

EXPERIENCE

Must have at least four years of full-time experience in purchasing, preferably in public schools which involves processing of purchasing documents.

In lieu of work experience, one year of college with a major in business administration, marketing or closely related field may be substituted.

EDUCATION

Equivalent to the completion of twelfth grade.
