POSITION & BENEFITS:

Job Title: District Data Specialist

Reports to: Director of Teaching and Learning

Bargaining Group: ESE

FLSA Status: Non-Exempt

Position: 8 hours per day, 210 days per school year (10 months)

Salary: $23.70 - $27.32 (educational incentive available in accordance with applicable collective bargaining agreement as negotiated)

Anticipated Start Date: 08/09/2024

Benefits: Medical/Dental/Vision, FSA/DCAP, Life/AD&D through SEBB (School Employee Benefits Board); and Retirement through DRS (Department of Retirement Systems) for eligible employees

Additional Benefits: Optional 403(b) retirement plan; Optional DCP (deferred compensation program) retirement plan

Leave: 9 sick days (pro-rated for mid-year hires), 10 paid holidays

REQUIRED QUALIFICATIONS:

  • High school diploma or its equivalent (GED); A.A. or greater preferred

  • Knowledge of technology and maintaining computerized databases;

  • Knowledge of school procedures; School experience preferred

  • Ability to multi-task;

  • Written and verbal communication skills

  • Ability to prepare and generate reports

  • Public Relations skills.

ADDITIONAL SKILLS: Bilingual/biliterate in Spanish is considered helpful. District tests to verify skill levels.

ROLES AND RESPONSIBILITIES:

District Assessment Data

  • Manage and maintain databases of student assessment data, demographic data, and longitudinal data.

  • Provide technical assistance on retrieval of student data or running reports from databases.

  • Supports staff and administrators in analyzing data for the purpose of improving student achievement.

  • Collaborates with staff, administrators, and testing coordinators for the purpose of ensuring that standardized testing processes are planning and implemented in a manner that enhances student performance and follows all relevant regulations, guidelines, and objectives.

  • Assist in the facilitation of the District's assessment processes by preparing rosters, managing the timeline for arrival / return of documents and files, communicating with building level coordinators.

  • Facilitates the administration of standardized student testing for the purpose of ensuring that mandated student testing processes are maintained in a manner that is positive and effective for students and follows all relevant laws, guidelines, and regulations.

  • Maintains a variety of records and files in both manual and electronic formats for the purpose of documenting assessment activities and ensuring compliance with established guidelines.

  • Orders supplies, forms, etc. needed for student testing as needed and/or assigned for the purpose of ensuring the availability of needed supplies in an efficient and cost effective manner.

  • Oversees the training of District employees in the appropriate dissemination, collection, and storage of forms, supplies, results, etc. of District student testing processes for the purpose of ensuring compliance with established guidelines.

  • Researches regulations, technologies and emerging trends in student testing and assessment for the purpose of providing additional information and/or recommendations, to address a variety of program related requirements.

District Online Subscription Data Management

  • Facilitate the setup of new digital programs and renewals by connecting them to the District's student information system.

  • Ensure end users have the information they require for timely access of resources.

  • Work with supervisors to ensure staff and personnel have the training and support they need to fully utilize the district-funded resource.

  • Review data of use and student growth within a variety of programs and lead data-discussions when appropriate.

  • Ensure products are properly budgeted for and renewed so that there is not a lapse in availability.

  • Seek new digital tools that will improve student growth.

District Improvement Plan Data Management

  • Implement strategies or tools for tracking and managing district data related to the District Improvement Plan.

  • Monitor and collect data required for evaluation of objectives outlined in the district's improvement plan.

  • Facilitate meetings and data-discussions as necessary to evaluate progress.

  • Work with district leadership around areas of growth and areas of concern.

District Instructional Material Asset Data Management

  • Maintain a directory of the adopted and in use instructional materials, programs, and subscriptions.

  • Support the Teaching & Learning Department in the management, replenishment and reordering of instructional materials as necessary.

  • Collaborate with fiscal department around inventory as appropriate.

Other

  • Assist Director of Teaching & Learning by accomplishing tasks as assigned. Types of assistance include, but are not limited to: maintaining calendars, scheduling appointments, researching, advertising, gathering / tracking data, preparing information and reports.

  • Maintain various program data, by collaborating with building secretaries, for effective entry-exit of student enrollment in special programs, health, attendance, grades, schedules, and all other district and state information required for each student receiving special programs assistance.

  • Organizes work by reading and routing correspondence, collecting information / data, maintaining digital program processes, and initiating communication as needed to support the education process.

  • Serve individuals by answering questions and facilitating needs of students, staff, community, and administrators.

  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies and communicating with the business office.

  • Acknowledge the importance of safety by maintaining a safe and orderly working environment and following safe work practices.

  • Protect the District by keeping information confidential.

  • Maintain technical knowledge by attending educational trainings.

  • Contribute to team efforts by accomplishing related results as needed or requested.

WORKING CONDITIONS: The usual and customary methods of performing the job's functions require the following physical demands:

  • Occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling.

  • Generally, the job requires:

  • ~ 5% lifting ~ 40 lbs.

  • ~ 55% of the work day standing, reaching, bending, stooping, walking

  • ~ 40% of the time working from a sitting position

  • This job is performed under temperature variations consistent with indoor and outdoor temperatures.

  • This job may require interaction with students displaying aggression, non-compliance, and other conduct problems.
