Position Summary

The University of Southern Indiana is accepting applications for Distribution Services Supervisor.

Ensures timely and cost-effective mail service for the University including handling all types of incoming and outgoing mail, freight, motor freight, and bulk mailings. Provides central receiving, storage, and shipping services for university equipment and supplies. Directs and supervises mailroom and warehouse staff including planning, scheduling, organizing, and assigning work.

Duties/Responsibilities

  • Coordinate the process for handling of all types of incoming and outgoing mail, freight, motor freight, and bulk mailings.

  • Investigate and determine resolution for all customer questions/concerns involving the mailroom, warehouse, and recycling/repurposing/removing of university assets.

  • Manage the mail processing postage chargeback reporting.

  • Reviews the scope of work and determines the personnel, equipment and materials needed to safely complete.

  • Collaborates with Creative and Print Services, their customers, and the USPS on scheduling of University bulk mailings to ensure all USPS requirements for the discounted postage rate are met.

  • Serve as the point of contact on all United States Postal Service mailing privileges, programs and authorizations granted to the University both locally and nationally. Such programs include, but are not limited to mailing permits, non-profit mailing authorizations, full-service discount compliance and seasonal postal incentive programs.

  • Order, maintain and oversee appropriate inventory of mailing equipment and mailing supplies necessary to process all type of incoming or outgoing shipments and mail.

  • Oversee coordination and communication with vendors to facilitate repair and maintenance of equipment utilized by the department.

  • Ensure and train personnel in the safe use of equipment and materials. Establish best work practices, methods, techniques, and procedures for routine work.

  • Gather and consolidate data from multiple sources to facilitate billing and reporting of department mail production and services.

  • Assist Assistant Director of Facility Operations with departmental budget planning.

  • Coordinate and manage the hiring and employee performance management activities.

  • Develop and maintain mailing standards for the campus and development of customer guides for the preparation of bulk mail pieces.

  • Oversee bulk mail products to ensure compliance with USPS requirements.

  • Oversee set-up and operation training of mail management software, offline mailing equipment, inkjet address printer, and folder / inserting equipment utilized to produce bulk mailings.

  • Enforce the Facility, Operations, and Planning attendance policy consistently.

  • Review daily delivery reports and inventory of deliverables to ensure compliance and timely delivery of all items. Address identified concerns and provide recommendations to Assistant Director of Facility Operations on ways to become more efficient.

  • Oversee and manage process work orders and PM's for Distribution Services by assigning work orders and ensuring completion in a timely manner.

  • Perform other duties as assigned.

Required Knowledge and Skills

  • High school diploma or GED.

  • One year experience supervising multiple employees performing multiple tasks simultaneously.

  • Excellent oral and written communication skills.

  • Ability to obtain a working knowledge and thorough understanding of USPS regulations for preparation of Standard, First, and Non-profit classes of mail.

  • Strong interpersonal skill required to work with a diverse group of internal and external customers in a fast-paced work environment with time sensitive deadlines.

  • Working knowledge of microcomputers, word processing, spreadsheets, databases, Internet, and electronic mail.

  • Ability to obtain knowledge and experience with the set-up and operation of offline, inkjet, tabbing and folder insert mail production equipment within the first twelve months of employment.

  • Ability to obtain knowledge and experience in the operation of mail management (presort) software.

  • Valid driver's license and the ability to operate campus fleet vehicles.

  • Ability to obtain and maintain, forklift and electric pallet jack certification.

Preferred Knowledge and Skills

  • Experience in mail center.

  • Accuracy, decision making skills, computer skills, and knowledge of USPS regulations.

  • Certification through a USPS Mail-piece Design Professional Program (MDPP) or successful certification within the first twelve months of employment.

  • Experience with Satori Bulk Mailer.
