Job Description

The Distribution Coordinator is the main point of contact between the Company and their customers' logistics personnel. They will manage the entire movement of product from origin to destination, including order placement, railcar transit, refinery/plant production monitoring, unloading monitoring and deal completion. The Coordinator is also the eyes and ears for the marketer, providing insight and information as to how shipments are progressing and customers unique production/usage fluctuations.

Duties and Responsibilities:

  • Submits orders to companies where product is to be loaded and tracking those cars once they are loaded to ensure they are received by the customer on time, working with the railroads if loaded railcars are delayed.

  • Track and monitor inventory levels and provide regular updates to Marketer and Accounting, recommending any adjustments, as needed

  • Order tracking

  • BOL entry

  • SRA, and filing
  • Communication with customer contacts - know and understand customer shipping/switching schedules

  • Maintaining an accurate shipment count on orders - rail, truck, pipeline

  • Maintaining an accurate count on outstanding orders - rail, truck, pipeline

  • Railcar tracing to ensure proper movement

  • Update monthly the railroad/trucking fuel surcharge sheet and send to appropriate users

  • Resolve service issues (customer or rail/truck related)

  • Problem resolution on shipment issues between accounting and transportation/marketing

  • Maintain accurate freight rates in SRA

  • Dependent upon position - maintain updated product posting prices

  • Proactively monitor and maintain proper shipping schedule for orders

  • Alert customer and Marketer if shipments are not following schedule

  • Adjust schedule to ensure successful order completion

  • Adjust empty car/truck arrival to achieve customer satisfaction

  • Provide bi-weekly order shipment updates to appropriate Marketers in decided upon format

  • Develop strong working relationships with customer's logistics personnel; provide excellent service to customers as the primary contact for all matters.

  • Participate in weekly rail meetings between transportation and marketing to provide up to date information on movements as well as understand the big picture of Centennial's current business

  • Ensure railcar optimization through understanding of transit times and loading schedules

  • Develop a proficient understanding of Centennials business and be able to understand the thought process which drives deal profitability optimization, and provide meaningful input

  • Enter BOL's into the system for railcars and trucks and preparing loading summaries for accounting and marketers usage. Standard filing of this paper work with customs and sending to customers as necessary.

  • Entering freight rates and updating these rates as necessary into the data base system.

  • Works with other distribution coordinators in the department as a member of a team to achieve department goals and objectives and cover other workload when they are on vacation or out ill.

  • Other duties may be assigned according to business necessity.

Educational and Experience

Requirements:
  • 2 or 4-year college degree

  • 3+ years of logistic scheduling experience, preferably rail

  • Oil and gas industry experience preferred

Qualifications/Skills and Abilities

Requirements:
  • Strong analytical and problem-solving skills necessary to identify problems or areas for improvement and work to resolve those issues.

  • Proficient knowledge of MS Office, primarily Excel.

  • Ability to work within the data base system in order to create and utilize reports.

  • Ability to work well within a team structure and work well with others.

  • Must be accurate, well organized, be able to prioritize and work under pressure.

Counts and writes total quantity of merchandise being shipped on the invoice. * Packs each order into a container and arranges the container onto a shelf according to truck route. * Stocks incoming orders onto shelves. * Measures, cuts, and spools wire materials. * Verifies quantities and items being shipped against the invoice. * Substitutes for other warehouse personnel when needed. * Makes deliveries as needed. * Other duties as assigned. Skills, Knowledge, and Education Required * High school diploma or GED preferred. * Must have a valid driver's license. * General knowledge of electrical products. * Ability to effectively communicate with co-workers to aid in satisfying customer requirements. * Ability to perform basic mathematical calculations in order to accurately complete job tasks. * Ability to organize and prioritize job tasks and requirements. * Able to meet deadlines. * Excellent attendance record required. * Able to work overtime as needed.
