We currently have a full time opening for a Dispatcher at Cook-Walden Funeral Home

  • Cook Walden Embalming

  • Cook-Walden Lamar Crematory in Austin, TX. GENERAL ACCOUNTABILITIES

Schedules resources and automotive equipment relating to daily operations in support of a funeral home and/or care center. Ensures that adequate coverage is available and scheduled to provide a superior service to client family, while maximizing the full potential use of company human and physical resources in accordance with established budgetary standards.

SPECIFIC RESPONSIBILITIES

Dispatching/Paperwork

  • Provides consistent support by dispatching resources to meet the needs of client families.

  • Receives first call information and initiates the resources required for dispatch.

  • Processes removal paperwork.

  • Assists with recording keeping of embalming documentation as required

  • Ensures that vehicles and associates are dispatched in accordance with company standards. Dispatch services may include:

  • Removals

  • Visitations

  • Transfers of casketed decedent and/or remains to final dispositions

  • Decedent memorial services

Scheduling

  • Schedules activities for both the internal staff as well as market locations.

  • Schedules the dispatch of vehicles and associates to ensure that services are provided as scheduled; services may include:

  • Removals

  • Visitations

  • Transfers of casketed decedent and/or remains to final dispositions

  • Decedent memorial services

  • Maintains in-house scheduling of location resources.

  • Schedules sufficient resources to meet market commitments

Customer Service

  • Demonstrates a commitment to internal and external customer service while serving the Company's families exceptionally well.

  • Builds and maintains strong relationships by promoting a team atmosphere.

  • Communicates with location associates, including directors, managers and other staff members to mitigate confusion and misunderstanding.

  • Leads by example while staying engaged and supportive of company initiatives.

Manage Inventory (Location specific)

  • Takes and places orders for necessary supplies.

  • Manages inventory for caskets and cremation containers for the market, including receiving requests and making orders, as required

  • Order additional general supplies at the direction of the location management.

  • Performs other duties as directed by management

Requirements & Qualifications

Education:

  • High school diploma or GED equivalent

Certification/License:

  • Current valid driver's license may be required.

Experience:

  • Minimum of six (6) months scheduling or logistics experience

Knowledge, Skills & Abilities:

  • Knowledge of the company's service promise, services, capabilities, policies procedures and practices to effectively manage various location needs

  • Ability to resolve issues in accordance with company goals and objectives

  • Excellent communication skills and interpersonal skills

  • Ability to prioritize and organize effectively with a keen sense to detail

  • Ability to work in a fast paced, high pressure environment

  • Ability to multi-task using multiple software programs simultaneously

  • Ability to communicate with associates, customers, supplies in person or by phone

  • Solid knowledge of computers, MS Office, e-mail, internet and other software required or willingness to learn

  • Good driving record

VIEW JOBS 5/19/2018 12:00:00 AM 2018-08-17T00:00 Job Description We are currently seeking a Dispatcher to provide a timely response of customer inquiries up to and including pick-ups, schedules, product orders, etc., and all other aspects of a customer's needs. Dispatches vehicles on a pre-set route for each driver on a daily basis in the interest of efficient customer service. Essential Duties & Responsibilities: Customer 1st: * Monitor, manage and assist with SFDC cases. * Assist Customer Service with customer requests, route changes, rescheduling for pickups/missed stops. * Provides highest level of customer service to all customers in line with Customer 1st objectives. Company Growth: * Assist with routine PDT/printer availability and operations. * Build and print routes for drivers on a daily basis, including but not limited to shipping documents, route sheets, barcode labels. * Dispatch drivers for extra or missed pick-ups. * Reviews driver's paperwork (VCR and log book) and files paperwork. * Review and updates routes, new customers based on daily communication, reroutes existing customers as required. * Debrief drivers in accordance with written SOP's. * Complete consolidated manifests for trailer shipments. * Ensures that routes are balanced and accepted in BSA on a daily basis. * Forwards VCR (Vehicle Condition Report) reports to Transportation Supervisor/Manager for maintenance request. * Assists drivers with problems/issues as issues arise (during the day or at the end of the route). * Prepares reviews and stamps all manifests. * Assists Trans Supervisor/Manager as needed/directed. * Download PDTs from previous night * Handle 3rd Party Hauler paperwork * Handle APHIS paperwork * Check STARS Customer Site Status Report daily * PDT maintenance and repair Team Member Development: * Communicate performance standards and objectives. * Monitors operations and work of all route Team Members. * Keeps staff informed of current problems, changes, and new developments in the department and company by conducting professional, organized, and participative meetings. Compliance: * Track and input DOT hours/ JJ Keller. * Monitors Company policies and procedures, communicate to staff, as necessary. * Maintains a safe and compliant workplace at all times * In the absence of a manager/supervisor, monitor and ensure that employees are performing their functions safely and productively. Make recommendations for changes or improvement, when necessary, in order to prevent accident or injuries. * Oversee and participate in the maintenance of Driver Qualification Files, DOT Log Files and Vehicle Condition Reports for all drivers and equipment. Ensure DQF, DOT Logs and VCR logs are accurate and complete; must maintain DOT files. Job Requirements * Education equivalent to graduation from High school, or GED equivalent; some college preferred. * Two or more years of Transportation/Logistic experience preferred but not required. * Demonstrates the ability to work safely and carefully to prevent injury to self or others. * Demonstrates knowledge of computer software applications to include spreadsheets and word processing.
