DISPATCH TRIP CLERK

Position Summary:
Dispatch drivers, assistants, and buses. Monitor and respond to two-way radio communications. Record absentee calls and assign substitutes. First line of contact for all incoming phone calls and directs calls accordingly. Assists Route and Field Trip coordinator with processing, posting, and tracking trip requests.

Education/Certification: High School Diploma or equivalent

Special Knowledge/Skills:

Hold or obtain a valid CDL license
Effective use of telephone and 2-way radio
Excellent organizational, communication, team, multi-tasking, and interpersonal skills
Operating standard office equipment including utilizing pertinent software applications
Ability to use maps and Global Positioning Systems (GPS) to follow routes and locate addresses
Ability to read and understand documents including policies and procedures manuals
Ability to receive and give written and verbal instructions
Routing and scheduling procedures
Efficiently work with frequent interruptions

Experience:
School Transportation experience preferred
Fluency in English and Spanish is preferred

Reports to: Transportation Operations Manager

Major Responsibilities and Duties:
Dispatch drivers and vehicles, trips and shuttles
Communicate effectively with transportation staff, parents, students, and school district staff members
Notify drivers, parents, and school personnel of any changes in a student's bus service
Utilize Transportation software to communicate as needed
Maintain confidentiality of all records
Answer phone calls, assist parents, and answer inquiries concerning transportation.
Maintain daily log book of all radio transmissions
Contact emergency personnel when warranted and advise drivers in emergency situations
Distributes trip assignments/keys and answers any questions upon pickup
Assembles trip paperwork/folders
Maintains all trip file records for 3 years
Performs other tasks as assigned

Other
Performs other related duties as assigned to ensure the efficient and effective functioning of the transportation department.
May be required to drive students in a non-CDL vehicle.
May be required to work as a bus assistant
Demonstrate behavior that is professional, ethical, and responsible
Early mornings required; standard shift 5:00AM-2:00PM. Summer hours may vary
Follows all district safety rules and procedures
Attends required staff development and training

Tools/Equipment Used: Standard office equipment, including computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Frequent repetitive hand motions; frequent keyboarding and use of mouse
Lifting: Occasional light lifting and carrying (up to 40 pounds)
Environment:
Work is performed in an office setting; may be subject to frequent interruptions and changing priorities from time to time

Mental Demands:
Maintain emotional control under stress. Daily attendance and punctuality at work are essential functions of the job.
