POSITION PURPOSE

The Director of Transfer Admission plays a pivotal role in the recruitment and enrollment of transfer students at Santa Clara University and will serve in a leadership capacity in the Office of Undergraduate Admission. The Director provides leadership, direction and management oversight. This position is responsible for helping develop and implement strategic initiatives to attract, admit, and enroll a diverse and talented pool of transfer students. The Director will collaborate with a team of admission professionals and campus partners to foster relationships with community colleges, community based organizations (CBO) and other transfer partners to contribute to the university's overall enrollment goals. Reporting to the senior Director of Admission, the Director of Transfer Admission will serve as one of the members of the management team that develops, manages, administers, implements and interprets university and/or department admission policies, processes and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Leadership Support:

  • Provide leadership support and direction for transfer admission strategies, including admission counselors and support staff.

  • Help develop and set a clear strategic plan; including goals, objectives, and performance metrics for the team.

  • Manage, mentor and train staff for which the Director is responsible.

  • Foster a collaborative and inclusive team culture that promotes innovation and excellence in transfer recruitment efforts.

Strategic Planning:

  • Contribute to the development and execution of a comprehensive transfer admission outreach and recruitment strategy aligned with the university's enrollment goals and initiatives.

  • Expanding and leveraging Santa Clara University's network of community based organization and leading divisional and campus-wide efforts to fully integrate transfers into recruitment, outreach and enrollment, and retainment activities.

  • Contribute to Enrollment Management's financial aid plan to support planned transfer enrollment.

  • Analyze market trends, competitor practices, and student data to inform decision-making.

  • Create, recommend, and adjust admission policies and practices to optimize transfer student recruitment and enrollment efforts.

Transfer Partner Relations:

  • Cultivate and maintain relationships and develop partnership agreements with community colleges, Community Based Organizations, and other transfer partner institutions.

  • Collaborate with academic departments to ensure seamless articulation agreements and program transfer pathways.

  • Lead the coordination of campus partners in creating a network of resources and support for the SCU transfer community. Be a champion on campus of transfer support services and

  • Coordinate transfer credit evaluation processes and ensure timely credit transfer decisions.

  • Develop, enhance and maintain Transfer Articulation Agreements (TAA).

  • Contribute to and support the development of ASSIST and other course articulation systems to support transfer students' admission and enrollment experience.

Recruitment and Outreach:

  • Oversee the development of marketing and communication materials and technologies tailored to transfer students.

  • Plan and execute recruitment events, including transfer student information sessions, college fairs, campus visits, and community transfer clinics.

  • Visit and foster outreach programs to support community-based organizations' activities. This includes outreach to military veterans and related local activities.

  • Participate in rotation for office coverage needs from group information sessions to phone call advising.

  • Provide comprehensive, individualized and small group advising to prospective transfer students.

  • Assist students in transfer course selection, transfer plans, and preparations for admission into appropriate majors.

  • Utilize data-driven strategies to identify and target potential transfer student populations.

Admission Process Management:

  • Manage transfer admission application review process, ensuring consistency, and compliance with university policies.

  • Evaluate and make recommendations for updates to admission requirements and criteria.

  • Implement technology solutions to streamline application processing and improve the applicant experience.

Data Analysis and Reporting:

  • Monitor key performance indicators related to transfer admission and enrollment.

  • Prepare regular reports for university leadership, summarizing admission trends and outcomes.

  • Utilize data to make data-driven decisions and refine recruitment strategies.

Other Duties:

  • Participation in Enrollment Management divisional events and programs; which could include evenings and weekends.

  • Participates in the University community via committees, projects, and events. May represent the organization to external constituencies (e.g., take leadership roles in regional and/or national committees as well as professional organizations).

  • Represents the Dean, as needed. Stand in for the Dean in her/his absence.

  • Provides backup support to other admission positions as needed

  • Other duties and projects as assigned in support of the distinctive Jesuit, Catholic mission of the University.

Provides Work Direction

  • Management of 1-2 full-time admission staff, part-time application readers and student workers.

GENERAL GUIDELINES

  • Proactively recommends initiatives and implements changes to improve quality and services.

  • Identifies and determines causes of problems; develops and presents recommendations for improvement of established processes and practices.

  • Maintains contact with students, counselors and CBOs and solicits feedback for improved services.

  • Maximizes productivity through use of appropriate tools; planned training and performance initiatives.

  • Researches and develops resources that create timely and efficient workflow and deliverables with Slate CRM.

  • Prepares progress reports; informs supervisor of project status; and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions.

  • Prepares and submits reports as requested and required.

  • Develops and implements guidelines to support the functions of the unit.

Knowledge:

  • Knowledge of current trends and best practices in transfer student recruitment, admission, and financial aid.

  • Valid California driver's license and good driving record.

  • Sensitivity toward people of diverse social, cultural and ethnic backgrounds.

  • Commitment to customer service, both internal and external to the department.

  • Understanding and appreciation for the Jesuit, Catholic mission, goals and values of the University.

Education and Experience:

  • Bachelor's degree and a minimum of 6 years related work experience required.

  • Master's degree and admissions-related work and/or related experience in a college environment are highly desirable.
