POSITION INFORMATION: Directs the daily operations of Student Services for a college.

REPRESENTATIVE DUTIES:

  • Policy Development and Monitoring. Assists the Dean or Associate Dean in developing and monitoring policies and standards related to MD program student services and support.

  • Event Planning and Coordination. Plans and coordinates selected student events including student orientation, commencement activities, and all awards banquets.

  • Student Services Representative. Serves as the Student Services Representative for all college and campus organizations and activities. Serves as the primary contact for student organizations and groups. Provides administrative support as needed.

  • Personnel Supervision. Supervises office staff. Assists the Associate Dean for Student Affairs in conducting performance appraisals, delegating tasks, overseeing work, and development. Anticipates staffing needs by analyzing workflow, strengths of employees, etc.

  • Environment Development. Works with administration, faculty, staff, and students to develop and maintain an environment that promotes wellness and facilitates learning

  • Compliance. Supervises the other staff members in monitoring compliance of all health and training requirements for MD program students.

  • Student Advising. Serves as the advisor for the OU COM student government, student organizations and interest groups. Assists Dean and Associate Dean with administering the University and college Academic Appeals and Misconduct procedures.

  • Student Promotions Committee. Develops the agenda for the Student Promotions Committee and compiles committee meeting minutes for the Executive Dean.

  • Career Advising. Serves as director of the Career Advising and Mentoring Program (CAMP).

  • Record Management. Maintain databases of student information related to USMLE scores, Match, Scholarship applications etc.

  • As Needed. Performs various duties as needed to ensure the efficient and effective operations of the Office of Student Affairs for the College of Medicine.

Education: Bachelor's Degree in related field.

Experience: 24 months experience in student services to include admissions, recruitment, course scheduling, and curriculum development and 12 months experience managing an academic or student services area.

Department Preferences:

  • Master's degree in related field.

  • Supervisory experience in related field.

This position will also focus on departmental diversity and inclusion programming. The professional’s time will be divided among the following activities in the approximate/average increments of time – hours per week – indicated in parenthesis: counseling (8-14); admin time (4-8); administrative programing and research (1-4); assessment and report writing (2-6); performance enhancement (4-10); Athletic Student Life projects (1-3); supervision (1-3); and outreach (1-2). Additional duties may include supervision of other trainees, coordinating PROS outreach efforts; providing crisis counseling and management; assisting the coordination of new student-athlete orientation programs; and collaborating with campus groups to develop programming opportunities around specific topics (e.g., National Eating Disorders Awareness Week, Sexual Assault Awareness Week).
