The Director of Property Management develops and deploys standards, policy, procedures, pricing, and guidelines for building operations, maintenance, and asset management of all Gateway Properties. Reporting directly to the Executive Pastor of Campus Development, this position holds responsibility of ensuring all projects for Property Management are completed while operating within Gateway culture, partnering with Campuses, and collaborating amongst Central departments. Additional objectives are to establish and maintain strong relationships with Campus leadership, partner with Campus Operation Directors, collaborate with Central departments and oversight of Property Management staff.

Principle Responsibilities

Leadership

  • Provide direct oversight of all Property Management team and lead team development and training.

  • Provide professional, spiritual, and relational oversight to direct reports.

  • Lead Property Management team in alignment with Leadership goals and objectives.

  • Maintain alignment with Gateway Culture and Social Covenant.

  • Maintain staffing structure that is effective and scalable for growth.

Relationships

  • Collaborate with all departments and all ministries.

  • Establish and maintain partnership with Campus Pastors, Associate Pastors, Campus Operations Directors, and Central Department Leadership.

  • Ensure Best Practices & Property Quality Control for both departments are developed and deployed to Campuses.

  • Support Campuses to properly steward and care for buildings, systems, and property through optimized and effective means.

  • Ensure that Operations works with a safety-first mindset.

  • Ensure that all utilities are properly provided and efficiently and financially stewarded.

  • Source, vet, hire, and work directly with vendors to develop relationships and standards to supply building materials, parts inventory, landscape, and cleaning services, for all Central and Campus based facilities.

  • Partner and mentor Campus operations to become self-sufficient in properly maintaining their buildings and keep good relationship with vendors.

Property Management

  • Forecast and execute capital projects.

  • Oversee and direct operational budget along with capital budget requests.

  • Coordinate with Central Departments to successfully execute in-house or vendor driven work related to capital projects.

  • Maintain building, systems, and property standards in conjunction with Campus Development.

  • Maintain computerized maintenance management system for work order requests for Central and Campuses. Provide guidance and oversight of work orders for Campuses.

  • Work closely with Campus Operations and Central Building Services Director to ensure that technicians are equipped and properly resourced to execute at Campuses.

  • Educate and mentor Campuses to ensure safety-mindset in executing projects, support, and events.

  • Ensure lease agreements are up to date, and provisions are enforced with each tenant or landlord.

  • Negotiate property management contracts and other contracts, in accordance with established criteria, to protect the company's interest. Must be able to determine when contracts warrant investor, partner and/or lender review and/or approval.

  • Supervise the maintaining Safety Manual for Building Operations.

  • Represent Gateway church before the city councils and city staff in cities where the church owns or leases properties.

  • Provide indirect oversight for staff who receive and process Help Desk tickets.

  • Provide in-house design for bid and construction of minor interior remodel projects.

Professional Development

  • Prepare and presents departmental reports relating to project performance, goals, standards, benchmarks, etc.

  • Regularly communicate and cooperate with Campus development Executive Pastor on all PM reporting and regulatory issues.

  • Sit on various meetings pertinent to department and organization goals and standards.

  • Stay abreast of property management and other real estate related industry standards, legislation impacting department and industry practices, policies, and procedures.

Miscellaneous Responsibilities

  • Work with department to maintain record documents, plans and specs, approved material samples and project records for use in long term management of the facilities.

  • Assist in creating and maintaining a database of material suppliers, vendors, etc. for use by the facilities staff in replacing or repairing materials when required.

  • Provide direct oversight for Property Management Staff.

Required Skills

Unique Skills & Knowledge

  • Working knowledge and experience in all facets of building systems and operation

  • Emphasis on knowledge of HVAC, Electrical, Life-safety and CMMS (computerized maintenance management system)

Problem Solving & Decision Making

  • Be able to educate Campuses to maintain and/or return properties to full functioning as soon as possible.

  • Relational problem-solving skills; able to handle crucial conversation with solutions especially in a critical property situation.

Relational Connections

  • Senior and Pastoral Staff, Support Staff, Architects,
  • Contractors, local government, and county officials.

Preferred Education/Certification

  • Bachelor's degree in business administration, Finances, Accounting, or related field.

  • 10+ years of experience at a director level preferred

  • 10+ years of experience in generating property budgets and supervision of management staff.

  • 20+ years of experience in Property Management and asset management of multi-site/campus (non-profit preferred).

  • Building Construction & Financial Experience (Capital Projects)

  • CMMS knowledge & experience

Key Performance Measurements

  • Maintain Property Management Operational Budgets and provide guidelines for Central properties.

  • Assist Campus Operations Directors in development of their annual Campus operational budgets for Property Management.

  • Cadence of Campus inspections to ensure all Gateway properties are meeting Quality Assurance Compliance.

  • No lost-time accidents within Central and Campus Property Management.

  • Oversight of effective stewardship of all property resources

  • Meet capital project deadlines.

  • Timely updates and bi-weekly oversight meetings.

  • Maintain preventative maintenance and ensure FF&E properly maintained across all Central and Campus properties.
