Smartsheet is looking for an outstanding procurement leader to join the finance team. Reporting to the CFO, this leader will possess strong management/relationship building skills and enjoy building and driving world-class procure-to-pay processes leveraging best in class technology including Smartsheet and Coupa (or other similar system). The procurement leader will manage a highly capable team of three procurement professionals and will interact with many business leaders throughout the organization. He/she will be a visionary and great supporter to the team. The goal of procurement is not only to deliver excellent vendor contracts that provide value to Smartsheet and mitigate risk, but also to ensure the product and services we are using are leveraged and still appropriate before each new engagement or renewal. Additionally, as the first line of the procure-to-pay process, this individual will ensure that the process from business request to procurement and then payment is world-class.


  • Provide vision, strategy and direction to the procurement team on how to best manage procurement requests from the business, balancing workload among team members.

  • Determine key metrics to track team performance. Develop, direct, and manage overall cost reduction and efficiency targets and report out on a quarterly basis.

  • Demonstrate superior professional knowledge and experience of the principles and techniques of negotiation to advise the business, directing and securing the best outcome for the company.

  • Partner with other departments and stakeholders to ensure timely execution of procurement requirements and achievement of cost reduction targets and optimal total cost of ownership

  • Drive opportunities to implement best practice purchasing policies, processes and procedures to aid and improve business performance and deliver best value.

  • Exhibit excellent business acumen and understanding of risk mitigation approaches through contract language usage.

  • Champion continuous improvement in all aspects of delivery (supplier performance, business adoption, technology enhancements)


  • Bachelor's degree in business, supply chain, computer science, management information systems, or other related field with minimum fifteen years experience managing a team and driving excellent results.

  • Demonstrated ability to analyze information, situations and issues to formulate logical and objective conclusions from fact, situations, data and observations.

  • Ability to direct cross-organizational workgroups and to build consensus among a broad spectrum of diverse constituencies at varying organizational levels.

  • Qualities: Leader who can provide direction and empower their team, has a bias for action and impact, is a strong communicator across the organization and with vendors, with a track record for inspiring and delivering great results,; lives the Smartsheet values.

The company was founded in 1997, and is currently headquartered in Bellevue, WA. Aegis currently operates 32 communities and is rapidly expanding their portfolio. The DESIGN PROCUREMENT COORDINATOR position is based out of the Aegis Home Office located in Bellevue, WA and reports to the Design Procurement Manager, as a member of the Development team. DUTIES AND RESPONSIBILITIES will include, but are not limited to: * Purchase Orders * Write purchase orders in Design Manager as specifications are written by internal interior designers for new and existing communities * Assure goods are within budget, prior to placing orders * Electronically save all acknowledgements, shipping confirmations, CFAs, etc. related to all orders * Track orders weekly * Update and manage pricing/tracking information in Design Manager so the information is up to date daily * Schedule delivery of goods with the General Manager, Marketing Director and Maintenance Director once all goods have arrived at the receiver * Send follow-up email to community within 24 hours of delivery of goods to ensure goods were delivered and ensure community is pleased with service * Vendor Management * Set-up presentations with new and existing vendors to review products as requested * Add vendor to contact list, Design Manager, and Outlook group * Request copy of W9 from each vendor and send to Accounting * Request term payments for all new vendors and fill out any necessary applications * Collect Certificate of Insurance (COI) and verify they are in compliance with Aegis requirements * Request new COIs as needed upon expiration * Warranty Items * Contact vendor with any warranty/shipping claims * Communicate with receivers and communities as to status updates and needed items/information * See through and manage replacement/repair of goods * Inventory Management * Photograph and log all design inventory from storage and receiver's warehouses in Design Manager * Remove inventory from log once delivered to a community * Respite and Model Rooms * Receive and place all Respite and model room orders when requested by the communities or Executive staff * Ensure all pricing, order forms, and Look Books are up to date on server and Aegis Online * Ensure all products are delivered * Track items/orders on community budget sheets * Invoices * Process all invoices for orders placed by the Design/Development department * Reconcile department credit card statement monthly and ensure receipts are gathered and logged for each expense * Enter all Capital Expenditure orders to the Community budgets sheets as "Committed" and then finalize costs once invoices are processed. * Verify totals are correct on spreadsheet * Installation * Participate in onsite installation of respite rooms, model rooms, new communities and others alike * This includes, but not limited to unpacking, moving, lifting, cleaning, etc. * * Misc.
