Job Description:

Title: Director of On-Campus and Historic Home Events

Unit: Non-Unit Professional (NUP)

Department: Institutional Advancement and Administration

Reports to: Vice President of Institutional Advancement and Vice President of Administration

Date: March 15, 2024

General Summary:

Under the direction of the Administration and Institutional Advancement departments, the Director is responsible for overseeing On-Campus Events and the MCC Foundation's Historic Home. The Director will be required to work some nights and weekends.

Duties and Responsibilities:

On-Campus Events

  • Establish a "one-stop" approach to event management on campus by interfacing with a broad range of internal and external customers, for events including meetings, conferences, special events, and large-scale annual events like Commencement.

  • Responsible for maintaining events calendar, overseeing reservations, and scheduling using MCC's scheduling software R25.

  • Coordinate and oversee all special catered events on both the Bedford and Lowell campuses.

  • Work with and schedule security staff for events as needed.

  • Provide on-campus event management and respond to emergencies/problems ensuring all aspects of events are carried out in a high-quality way.

  • Plan and implement events open to the general public.

  • Represent the College on internal committees as well as external committees and boards.

  • Assist with any MCC event as assigned.

  • Establish a partnership with the College Hospitality Program.

  • Establish and maintain a system for recording and reporting event data.

  • Review, confirm, and submit the catering requests for all departments on the Bedford and Lowell Campuses to the cafeterias or the college-approved caterers for events and meetings.

  • Consult with chefs from each of our caterers to make recommendations on menus for special events as needed; obtain proposals, work with individual departments, and confirm.

  • Arrange for wait staff at events on campus, if needed.

  • Contact, coordinate, and confirm beverage service when needed for special on-campus events from appropriate vendors.

  • Collaborate with the Facilities, Information Technology, and Administration reps on logistics and set up for On-Campus events.

  • Promotes and maintains positive community relations.

Historic Home

  • Market the Nesmith House and appropriate campus properties to potential clients through dissemination of marketing materials, networking with area employers, and outreach to external community partners.

  • Consult with potential clients/customers regarding the use of the MCCF's Nesmith House.

  • Manage the day-to-day activities at the Nesmith House.

  • Coordinate and oversee all events scheduled at the Nesmith House. Troubleshoot and manage emergencies/problems as they arise.

  • Work with and schedule security staff as needed for events at the Nesmith House.

  • Assemble a team of part-time staff to cover events scheduled at the Nesmith House on nights and weekends, when/if the Director is not available.

  • Work with the Dean of Advancement to closely monitor budgets and employment contracts for part-time employees associated with the Nesmith House.

  • Maintain Nesmith House décor; purchase furnishings and other items as needed and in conjunction with MCCF, Institutional Advancement, Facilities, Administration, Finance, and Procurement leadership.

  • Work with the facilities department and landscape consultants to maintain gardens and grounds at the Nesmith House.

  • Work with the Facilities department and outside vendors to maintain the Nesmith House.

  • Coordinate outside vendors and caterers as needed for work necessary at the Nesmith House.

  • Compile, organize, and maintain historic research pertaining to the Nesmith House.

  • Consult with chefs from each of our caterers to make recommendations on menus for special events as needed; obtain proposals and confirm.

  • Arrange for wait staff at events at the Nesmith House, if needed.

  • Contact, coordinate, and confirm beverage service from appropriate vendors when needed for special events at the Nesmith House.

  • Consult with internal and external customers to rent/use space at the Nesmith House or either campus to coordinate their catering needs.

  • Collaborate with the Facilities, Information Technology, and Administration reps on logistics and setup for Nesmith House events.

Other Duties

  • Catering Services & Floral Design:

  • Coordinate each catering request, and invoice and coordinate with Accounts Payable. Copy all parties requesting food service. Outside agencies payment is arranged either by credit card, check, or a purchase order number.

  • Ensure setups are available at each location for food service; tables are skirted with linens as needed and return clean-up is arranged.

  • Coordinate the laundering of linens and subsequent processing of invoices.

  • Coordinate the purchase and storage of linens and other items needed for catering on each campus and the Nesmith House.

  • Work with Institutional Advancement on Celebrity Forum events at outside venues. The Director will work in concert with staff and outside consultants when necessary to implement the theme and décor associated with this high-profile MCCF fundraiser.

  • Travel to flower markets to purchase flowers as needed for special events at the MCCF Nesmith House and the MCC Commencement ceremonies.

  • Design floral arrangements or contract with florist to provide floral arrangements.

  • Coordinate the flowers and stage set up for Commencement.

Supervisory Responsibilities

  • Supervise part-time assistants to the Director including housekeepers, maintainers and groundskeepers, and work-study students.

  • Maintain an effective working relationship with other college departments.

  • Carries out supervisory responsibilities in accordance with Middlesex Community College's policies and applicable laws.

  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Requirements:

  • Associate degree with experience or a Bachelor's degree

  • 2-10 years of experience in hospitality, restaurant management, catering management or program management

  • Experience with equity-minded work and/or understanding of individuals of diverse identities such as race, ethnicity, socioeconomic level, sexual orientation, veterans, and individuals with different academic preparation levels and varying physical and learning abilities

  • High level of integrity.

  • Working knowledge of modern office equipment, including the use of computers.

  • Ability to think quickly while speaking with customers.

  • Strong prioritization and organizational skills.

  • Strong sales and marketing skills.

  • Excellent customer service skills.

  • Ability to resolve problems and develop relevant alternatives and recommendations.

  • Ability to manage multiple tasks and to be detail-oriented.

  • Ability to communicate effectively both verbally and in writing; to establish positive public relations, and to interact effectively with a wide variety of people.

Additional Information:

Salary Range: $70,000 - $80,000 actual salary commensurate with academic background and experience. Employees of Middlesex Community College are considered employees of the Commonwealth of Massachusetts and receive benefits, which include:

Location: Lowell campus with occasional travel to Bedford as needed
