Colorado Mountain Medical is looking for Director of Office Operations to join our professional team, supporting our three clinics. The Director of Office Operations is responsible for coordinating and managing front office operations, including reception, scheduling and medical records. At times may assist with office procedures and operations; including but not limited to medical receptionist duties, pre-certification/scheduling duties, physician scheduling duties and medical records duties. Responsible for compliance with HIPAA regulations. The position will be primarily based in our Avon clinic, with travel to the Vail and Eagle clinics.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Establishes and maintains departmental policies and procedures, objectives, OSHA Rules and Regulations, HIPAA practices, environmental and infection control standards.

  • Coordinator and first point of contact for all security issues, including those related to HIPAA.

  • Oversees selection, training, motivation, development, scheduling, and coaching of front office staff.

  • Determines and administers the appropriate staffing levels and schedules according to budget and business demand.

  • Receives, investigates, and resolves patient, physician and employee concerns.

  • Meets with staff regularly to review and front office protocols and facilitate concern/problem resolution.

  • Develops and manages front office departmental budget.

  • Develops and maintains vendor relationships.

  • Ensures clinics are in good working order/condition and coordinates repair/construction/cleaning etc. as needed.

  • Assists front office staff, pre-certification/scheduling staff, medical records staff and providers as needed.

  • Participates in weekly senior management meetings; providing updates as applicable.

REQUIREMENTS AND QUALIFICATIONS:

  • Bachelor's Degree or Equivalent.

  • Minimum of three years of previous medical office administration experience.

  • Minimum of three years related management experience required.

  • Comprehensive knowledge of industry and industry-related trends and forecasts.

  • High level proficiency and knowledge of AllScripts EHR program preferred.

  • Extensive Microsoft knowledge and proficiency required.

  • Demonstrated ability to develop and meet annual budget targets.

  • Ability to effectively organize resources, establish priorities and perform multiple tasks.

  • Professionalism and ability to be discreet with confidential and sensitive issues.

  • Ability to foster professional and productive relationships.

  • Ability to work independently and take initiative.

  • Displays strong verbal/written communication and organization skills.

  • Knowledge of medical terminology, medical equipment, HIPAA compliance and OSHA rules and regulations required.

  • Ability to tolerate stress and manage multiple priorities.
