Since 2006, Carolina House has been providing high-quality care to men and women battling eating disorders and co-occurring mental health conditions. We provide programming at three locations, with two of our residential treatment settings in idyllic, rural areas in Durham, North Carolina, and a community-based day treatment and intensive outpatient center in Raleigh, North Carolina. Many people who struggle with eating disorders also struggle with other mental health disorders, and our programs are designed to treat co-occurring depressive disorders, anxiety disorders, bipolar disorder, substance use disorders, and posttraumatic stress disorder, among others.

We are seeking a full-time Director of Intake and Admissions. This position will lead intake duties through supervision of Intake Staff, and responsible for the Intake procedures/protocols. A thorough understanding of the facility's treatment program and philosophy is required. This individual must have an ability to coordinate and supervise the facility's inquiry and admission process, work flexible hours, and work with the prospective patients and families to promote admission into the facility. This is a moderately complex position requiring the individual to serve as a primary link between internal operations of the facility regarding inquiries and admissions and the external operations of marketing and public relations. The person in this position performs a variety of tasks involving knowledge of the internal operation of the facility. This person also interacts with patients and assists them with financial arrangements and in solving insurance problems. This person must be able to work independently, accurately, and with minimal supervision.

  • Responds to all inquiries regarding services at Carolina House (via telephone, e-mail, and walk-in).

  • Evaluate patient appropriateness for treatment and determine appropriate level of care through coordination with clinical staff.

  • Verification of insurance coverage. Obtain prior insurance authorization and negotiate single case contract through coordination with clinical staff.

  • Responsible for coordinating outreach efforts to prospective client's family members and professionals with a focus on customer service. .

  • Completes admission process efficiently and accurately.

  • Completes and copies necessary paperwork to ensure patient files are prepared for admission.

  • Exhibits organizational skills and is systematic in carrying out intake duties.

  • Meet with parent(s), patients, upon admittance and review necessary paperwork, and obtain required signatures and documentation.

  • Accurately maintains list of open bed status and waiting list. Provides information to CEO, CFO, Clinical Director, Director of Nursing, and Resident Patient Assistant Supervisor.

  • Availability Monday Friday, 8:00 a.m. to 5:00 p.m.

  • Provides professional-level assessment and intake services for individuals referred to the facility. Walks inquiries through admission process from initial contact to admission.

  • Receiving and coordinating information received via telephone fax, e-mail.

  • Collect medical and psycho-social documentation regarding applicants to present to clinical staff.

  • Evaluate patient appropriateness for treatment and determine appropriate level of care through coordination with clinical staff.

  • Record-keeping and report preparation of all intake interactions.

  • Documentation as outlined in policies and procedures including completing of all intake documents prior to admission.

  • Attend and participate in meetings as assigned. This may include clinical, intake, case conferences, staff meetings, in-services and staff trainings.

  • Arranges transportation for patients who come into our facility.

  • Demonstrates ability to teach peers new procedures as appropriate and train new staff members as requested and required.

  • Maintains daily contact with NRC including review update of daily handoff report and follow up with referrals.

  • Provides documentation updates of patient/inquiry status to Clinical

  • Director, Marketing, CEO, and VP of Eating Disorders division.

  • Maintains strong communication with Marketing regarding referral sources.

  • Accurately maintains list of open bed status and waiting list. Provides information to Clinical Director, CEO, VP of Eating Disorders division and Marketing.

Education and Experience

Three or more years of direct service provision or equivalent work experience related to the eating disorder population. Knowledge of addictions, mental, emotional and behavioral disorders.

  • BA, BS, or Nursing license required. Also, LCSW and LPC encouraged to apply.

  • Must be able to be diplomatic with referrals, clients, families and insurance companies.

  • Must have the ability to remain calm in emergency situations.

  • Strong problem solving and critical thinking skills.

  • Ability to thrive in a fast-paced environment.

  • Good verbal and written communication skills.

  • Ability to understand medical, psychiatric and other clinical history of patients

  • Willingness to be flexible in adjusting to new and changing situations.

  • CPR, Patient De-escalation, and First Aid certifications required.

  • Ability to work with female, male, transgender adult, and adolescent population and their families

  • Ability to work with others as a member of a team.
