Job Responsibilities

Under limited supervision by the VP of Finance and Administration (VPFA), this position performs varied accounting, business and administrative functions for the Division of Finance and Administration within the college. Activities include supporting and assisting staff assigned to core business functions, including cashiering (student accounts), payroll reporting, accounts payable, and state funds reporting. Employee in this position is expected to move nimbly among these and other functions, as needed.

Job Functions:

  • Responsible for all activities related to proper fiscal stewardship of the College including monitoring and collection of revenues, salaries, and other expenditure data, vendor payments, contracts and grants, permanent improvement projects, audits of financial records, and payroll tax/benefits payments and reporting. Prepares the formal budget and other reports for the College's Leadership team. Responsible for monitoring, identifying, and researching deviations to these budgets.

  • Responsible for the fiscal management of a highly complex, specialized higher education computerized accounting, reporting and budgeting system. Plans, directs and administers the comprehensive function of accounting and related activities associated with this system to ensure compliance with federal, state, local, GAAP, GFOA, NACUBO, and institutional policies, procedures, and regulations.

  • Serves as the primary advisor to the VPFA on all fiscal matters. Develops business office strategies to support institutional strategic goals, provides supervision related to financial accounting, grant accounting, and student financial services divisions of the college. Plans and directs the preparation of all internal and external financial reporting requirements, including state reports, 1098Ts, and the annual audit report.

  • With direction from the VPFA, assists with updating and maintaining general ledger account codes; prepares journal entries, and prepares, edits, and balances month-end college accounts/reports.

  • Serves as a liaison with the financial aid office and the FDTC Foundation Office regarding scholarships and awards. Assists with the College's financial aid accounts receivable records. Assists with the analysis of and maintenance of student accounts.

  • Assists the Accountant/Cashier for Accounts Receivables with collecting, receipting, participating in the daily cash analysis, and depositing all monies for the State, County and Institutional funds in compliance with Federal, State and College policies and procedures. Assists with the processing of student tuition refunds, as directed. Assists the Accountant/Accounts Payable with accounts payable functions, including vouchering, validating against purchase orders, check printing and reporting.

Minimum and Additional Requirements

Bachelor's degree with multiple accounting courses and professional experience directing professional accounting, auditing, banking or finance employees.

Preferred Qualifications

Prefer a master's degree with a concentration in accounting and a minimum of five (5) years supervisory experience and five (5) years accounting experience, including auditing and budgeting, in a computerized environment. Experience in a similar position at a post-secondary institution or in a complex governmental organizational setting is preferred.

Prefer a CPA or CGFO certification. Must be able to supervise and communicate effectively, experience with the preparation of complex financial statements, good analytical skills and the ability to work independently. Must be self-motivated and able to function effectively in a team setting; be proficient with various computer software., i.e.

Excel, Word, Outlook. Must have excellent communication and organizational skills and be able to exercise judgement and discretion in interpreting and applying policies and procedures. Must be able to handle diverse administrative functions and prioritize tasks according to deadlines, interact effectively with the public, and maintain effective working relationships with vendors and State Agencies is necessary.

Prior experience with federal and state funding is preferred. Experience with Ellucian's Colleague ERP system or another higher education ERP system is preferred.
