Job Summary:
This position exists to represent the institution in the community and expand relationships with government, business leaders, artists, and community groups. The Director oversees and executes the planning, communication, and implementation of activities with internal and external constituents. Specifically, the Director is responsible for researching and attracting revenue-generating prospects for campus usage and coordinating internal usage of campus facilities for events and conference support, generating a professional outcome to position the institution in the most favorable light. The Director supervises event staff including the Events Manager, Event Technology Coordinator, and the Arts and Culture Curator. The Director has ongoing collaborative relationships with Physical Plant, food services, Public Safety, Marketing, Music, Worship and Performing Arts, the President's Office, and Athletics to ensure a seamless and repeatable process for all internal and public interfacing activities including Arts and Culture series.
Supervisory Responsibilities:

  • Recruits, hires, trains, manages, and schedules event volunteers and support staff.

\t

  • Oversees the daily work of the department.

\t

  • Provides constructive and timely performance evaluations.
    Physical Requirements:

\t

  • Prolonged standing and walking during events.

\t

  • Must be able to lift up to 25 pounds at times.

\t

  • Able to work varied hours to accommodate events.

    Education and Experience:

\t

  • Bachelor's degree preferred

\t

  • Minimum of 5 years experience in a successful event planning or CSR/Community Outreach role in a professional environment; marketing and/or sales experience a plus

\t

  • Demonstrated experience in a professional multitasking environment

\t

  • Experience in a non-profit, educational environment helpful

  • Excellent interpersonal skills to coordinate and collaborate with diverse people and teams in planning various internal and external events.

  • Strong Organizational skills to manage multiple tasks and deadlines simultaneously, ensuring everything runs smoothly leading up to and during the event.

  • Strong managerial experience and proven ability to lead, coach, inspire, and organize a team.

\t

  • Outstanding ability to inspire confidence, respect, and trust across all levels of the institution and to create a team environment where ideas can be shared, questions can be asked and individuals are accountable for their own actions.

    Duties/Responsibilities:

\t

  • Able to function autonomously and with some level of ambiguity with general instruction.

\t

  • Responsibility requires significant independence, confidentiality in handling sensitive information, and the need to research information and collect facts on which significant decisions are made.

\t

  • Ensure the management of the institutional master calendar and communications with requestors; mitigating discrepancies for all internal events, external groups, and Presidential events.

\t

  • Be the champion to develop written campus-wide standards for events and hosting external groups including an applied discount decision matrix.

\t

  • Assign projects and events to the Event Manager with minimal supervision.

\t

  • Provide oversight to the box office operations at the Good Shepherd Chapel and the Trust.

\t

  • Provide oversight and guidance to the Event Technology Coordinator, ensuring the team is informed and equipped to service internal and external events including Chapel.

\t

  • Provide oversight to the Arts & Culture Curator to facilitate the recruitment of mission aligned artists to create compelling arts and culture series.

\t

  • Ensure the coordination of educational opportunities for MWPA students with artists in collaboration with MWPA.

\t

  • Develop a revenue generating plan and monitor the Events Department budget to ensure successful stewardship of resources.

\t

  • Strategically plan for key revenue generating groups and negotiate pricing.

\t

  • Provide trend analysis with like Colleges in the country.

\t

  • Develop campus event guidelines and procedures.

\t

  • Coordinate with an external web-based marketing company to promote the Events Department.

\t

  • Identify and implement event management and electronic signature technology to improve efficiencies and enhance the end-user experience.

\t

  • Facilitate all Presidential events as requested by the President's Office.

\t

  • Oversee the coordination of all internal events and external groups/camps (including evenings and weekends).

\t

  • Assist the Provost Office, Registrar Office, and other key stakeholders with the planning and coordination of commencement events.

\t

  • Follow up with leads generated from the LBC website and off-campus web-based marketing company to increase revenue.
