Manages event planning functions and staff on a daily basis. Core area of responsibility is the event planning team, including the Senior Event Managers, Event Managers, Associate Event Managers and Administrative Assistants.

Position oversees the administrative processes associated with the pre-event and post-event phases of an event and the associated transitions between all event phases. Ensures a seamless turnover from sales to operations and back to sales while consistently delivering a high level of service. Ensures the team maximizes revenue opportunities by up-selling and accurately forecasting (catering and group rooms) all events. The position is responsible for achieving guest and employee satisfaction and for managing the financial performance of the department.


Education and Experience

High school diploma or GED; 4 years experience in the event management, food and beverage, sales and marketing, or related professional area.
2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major; 2 years experience in the event management, food and beverage, sales and marketing, or related professional area.


Managing Event Planning Operations

Assigns all events turned over to Event Planning team.

Oversees for turned opportunities function space and group room blocks.

Communicates and executes departmental and property emergency procedures and ensures staff are trained in safety procedures.

Leads execution of activities to support the Event Management strategy.

Works with direct reports to review scheduled events and troubleshoot potential challenges/conflicts.

Leads discussions to review event complexity and proactively avoid service challenges and failures.

Ensures the property is apprised of all groups that will impact property operations.

Manages customer budgets to maximize revenue and meet customer needs.

Maintains inventories to maximize customer satisfaction and revenue opportunities.

Works with highly complex or high profile groups when financial impact will be significant.

Leading Event Planning Team

Leads the catering menu development process.

Champions all standards, policies and procedures for the Event Planning team.

Leads Event Management meetings.

Providing and Ensuring Exceptional Customer Service

Reviews comment cards, guest satisfaction results and other data to identify areas of improvement.

Shares plans with property leadership and ensures corrective action is taken to continuously improve guest satisfaction.

Displays leadership in guest hospitality, exemplifies excellent customer service and creates a positive atmosphere for guest relations.

Interacts with guests to obtain feedback on product quality and service levels.

Responds to and handles guest problems and complaints.

Strives to improve service performance.

Empowers employees to provide excellent customer service.

Managing the Sales and Marketing Strategy

Develops working relationships with outside vendors and establishes prices and service agreements to enhance the event experience and to increase additional revenue opportunities for the property.

Consult with customers in order to determine objectives and requirements for events such as meetings, conferences, and conventions.

Conducting Human Resources Activities

Establishes customer service guidelines so employees understand expectations and parameters.

Ensures employees receive on-going training to understand guest expectations.

Observes service behaviors of employees and provides feedback to individuals and or managers.

Reviews staffing levels to ensure that guest service and planning needs are met.

This position is responsible to coach and develop team members to deliver the Key Private Bank Advisory Client Experience with effective discovery skills, advice strategies and thought leadership. The Regional Financial Planning Specialist serves as a conduit and coordinator of financial plan construction in their respective markets while interfacing with the Financial Planning Center, Key Family Wealth and Regional Insurance teams. This position is responsible to create consistency in the execution of the advisory client experience across their assigned markets and to ensure that focus clients receive the full benefits of KPB's planning capabilities. ESSENTIAL JOB FUNCTIONS Leadership: * The Regional Financial Planning Specialist is responsible to create and maintain a culture of Advice and Planning within their Region. * In partnership with the Client Experience Manager the Regional Financial Planning Specialist will identify strategies to integrate planning and advice with new and existing client relationships to retain and grow the markets current book of business. * Collaborate with each markets CEM's and RM's to meet goals related to planning and advice revenue, wealth direction and client experience metrics * Provide each Key Private Bank team within the region with continuous coaching and training to develop advisory skills, ensure a consistent process and client experience, and understand how to best use the Key Private Bank planning tools and technology * Serve as a member of the Wealth Institute and contribute to KPB's overall thought leadership Planning Expertise: * Coordinate and review each plan from the Client Experience Manager with the Central Financial Planner to consistently position advice strategies and engage appropriate partners (Insurance, Family Wealth) to meet the client's goals and objectives. * Lead the delivery of Financial Planning services for Family Wealth Clients that do not have a Client Experience Manager including discovery, financial plan presentation and advanced planning strategies. * Coordinate the efforts of the Financial Planning Center, Family Wealth Consultants and other KPB experts on behalf of their region to provide thought leadership, share expertise and best practices. * Maintain current industry knowledge of financial planning trends, strategies and tactics and provide proactive updates to the local Key Private Bank team and clients * The Financial Planning Specialist will determine in partnership with the Relationship Manager the depth of advisory services to be provided for clients served by an Associate Relationship Manager. Sales: * Educate Relationship Managers and Wealth Advisors on planning based discovery approaches that identifies the holistic needs of a prospect and positions an advice based value proposition. * Partner on Family Wealth opportunities with the Wealth Advisor and Relationship Manager to acquire new business and retain/expand existing relationships. * Participate in sales strategy pre-call meetings with Relationship Managers and Wealth Advisors to develop dialogue and strategy for discovery meetings and position the implementation of advice strategies in prospect proposals. * Maintain broad knowledge of KeyCorp products and services and recommend when appropriate. * Prepare and Present advice-based content at client networking or education events REQUIRED QUALIFICATIONS * CFP Designation. 5 - 7 years financial planning experience. * 5 - 7 years of broad based banking/investment/sales experience. * 3 - 5 years of client management experience and proven client relations orientation. * In- depth experience with financial planning software applications * Ability to transfer strategy to tactical plans and implement. * Self-motivated, goal and results driven. * Strong leadership team collaboration skills. * Expert Client Discovery and Communication Skills. * Excellent written, verbal and presentations skills. * Comfortable with new technology, web and cloud-based applications.
