Job Description:

Reporting to the Executive Director of Advancement Services, the position of Director of Data Administration (DDA) encompasses developing and designing statistical reports, visual dashboards of analytics, managing the main fundraising CRM, ensuring data quality control, strategic planning, and implementing aggressive data enhancement programs. Additionally, the DDA will oversee a team of two data professionals to ensure seamless execution of data initiatives.

The DDA assumes responsibility for overseeing all third-party software systems, ensuring seamless data flow through API connectivity and other import/export processes. This role drives the development and implementation of innovative technological solutions to enhance data utilization in support of fundraising efforts. Additionally, serving as the primary backup for the Executive Director of Advancement Services, the DDA closely collaborates with Advancement staff and vendor representatives to maintain data consistency and accuracy.

Specific Responsibilities

  • Performs critical data integrity tasks, analytics, and report generation, including ongoing monitoring of donor trends, behaviors, and data consistency. Conducts quality checks to ensure accuracy across prospect data, constituent contact details, and address information, while analyzing data interrelationships.

  • Leverages multiple software systems to support API connectivity and data usage between systems, data mining and query functions to significantly enhance fundraising and constituent engagement efforts.

  • Drives the development and maintenance of comprehensive routine reporting efforts utilizing diverse systems and data connectivity solutions. This pivotal role ensures the seamless construction and upkeep of sophisticated reporting mechanisms, leveraging advanced technical expertise to optimize data connectivity and drive actionable insights for strategic decision-making among college leadership.

  • Facilitates data request fulfillment, collaborating with staff to meet outreach, planning, and analysis needs within Institutional Advancement and across campus partnerships.

  • Directs the augmentation and cleanup of existing data sources, ensuring constituent data accuracy, and maximizes fundraising system data utilization for planning, statistical analysis, constituent contact, solicitation, and prospect data assignments.

  • Maintains prospect assignments across advancement staff portfolios within the Blackbaud Raiser's Edge NXT database, in accordance with directives from the Director of Prospect Research and the Prospect Research Analyst.

  • Develops and delivers ongoing software training within Institutional Advancement and other campus partners.

  • Plans and executes data import processes for the main Blackbaud Raiser's Edge NXT fundraising database in conjunction with other collaborative software programs.

  • Acts as primary liaison for receiving the National Change of Address (NCOA) updates from various vendors and staff to process regular screenings in compliance with US Postal Service requirements.

  • Tracks and documents data integrity related activity used in internal management reporting.

  • Supervisor of records for Data Manager and Data Specialist. Responsibilities include develop and maintain job descriptions, plan, direct and assign work of assigned staff, make hiring and disciplinary decisions, provide feedback on performance, and approve timesheets.

  • Serves as primary back up for the Executive Director of Advancement Services, participating in cross-training exercises and working closely with the Executive Director in strategic planning and budgeting.

  • Maintains comprehensive standard operating procedures (SOPs) and documentation related to areas of responsibility.

  • Systematically evaluates and implements AI tools within Advancement, maintaining close collaboration with the Executive Director of Advancement Services to uphold best practices and ethical standards for fundraising optimization.

  • Assists with divisional special events as needed, with some evenings and weekends required, including interaction with major donors, college leadership and alumni.

  • Performs other appropriate assignments as requested by the Executive Director of Advancement Services.

This is a full-time, 35-hour a week position with a hiring range of $75-$77k.

Requirements:

Qualifications

  • Bachelor's degree in a related field or a minimum of five years of progressive experience in an Advancement setting as a Database Administrator, preferably in higher education.

  • Three or more years of experience in utilizing multiple software systems for data management including Blackbaud Raiser's Edge NXT with a strong emphasis on API connectivity knowledge, import and export, data mining and query functions.

  • Two or more years of supervisory experience.

  • Proficient in planning, organizing, and meeting deadlines, with a proven track record of successful project management.

  • Statistical literacy and strong analytical skills are imperative with the ability to generate actionable insights through sophisticated reporting mechanisms utilizing Blackbaud Raiser's Edge NXT dashboards, Microsoft Power BI, and Microsoft Excel programs.

  • Exceptional attention to detail and scrupulous accuracy in handling confidential materials, demonstrating sound judgment and discretion.

  • Demonstrated ability to work independently, prioritize multiple tasks, and adapt to changing priorities while maintaining operational efficiency.

  • Clear understanding of fundraising practices and a commitment to adopting best practices to optimize fundraising strategies and initiatives.

  • Ability to provide clear and actionable instruction to colleagues, offering assistance, training, or supervision as needed.

  • Preferred qualifications of experience in GiveCampus software, Almabase software, Donorsearch software, LiveAlumni software, LexisNexis Software, ThankView software, Mongoose/Cadence software, Double the Donation software, Ellucian Colleague software, Informer 5 Software, all Microsoft 365 applications of Teams, Excel, Word, Power BI, PowerAutomate, SharePoint, OneDrive and with current use knowledge of AI.

Working Conditions

The overall setting of the job is in an area conducive to a normal office environment with minimal exposure to adverse conditions.

Physical Characteristics

This position requires sitting for long periods of time, as well as some bending and stooping when working with files. This position does have some limited lifting involved but not more than 10 pounds at a time. Quite a bit of finger/hand dexterity is involved regarding typing. This position will allow for up to two workdays a week remote once fully trained.
