The Director of Advising oversees student advising for the full portfolio of programs at the School of Professional Studies (SPS) which includes cross-disciplinary Master's Degree Programs, Pre-Graduate and Graduate Certificate Programs, Structured and Unstructured Certifications of Professional Achievement, take-a-class options for bachelor's degree holders and visiting students enrolled at other institutions, High School Programs, and the American Language Programs. The Director of Advising manages a team that ensures a smooth transition from admitted applicant through enrolled student, and proactively supports students during their time in the program through graduation by serving as their main point of contact, providing advising, and delivering communications at key intervention points throughout the academic year. All efforts will contribute to the SPS goal of attracting, yielding, and retaining increasing numbers of highly qualified students (regionally, nationally and internationally). The Director of Advising maintains a close collaborative relationship with admissions, program, marketing and other SPS team members to ensure that all team initiatives align with School and University goals.   • Experience advising students or working in other relevant student affairs roles.

  • Exceptional attention to detail, strong organization and time management skills, and the ability to perform routine and non-routine work with changing priorities and aggressive deadlines.

  • Excellent oral and written communication skills and the ability to summarize and present complex information in a clear and concise manner.

  • Strong working knowledge of current trends in higher education nationwide and internationally.

  • Demonstrated ability to lead a project or initiative from concept to completion, with strong organization and time management skills ability to handle multiple projects simultaneously

  • Proficiency with Windows, Microsoft Word and Excel required.

  • Some evening and weekend work required.

  • Familiarity with or willingness to learn SIS, Apply Yourself, Onbase, and other systems, applications and software used by the University and the School.

  • Ability to handle confidential information in a mature, professional manner.

  • Must be able to work with a diverse student body, faculty and administrators.

  • Background in higher education administration. Special Instructions Preferred Qualifications

  • Experience in enrollment management or academic advising.
  • Demonstrated experience using a relational database, online application system and/or Customer Relationship Management (CRM) tool, ideally in a higher education setting.

  • Demonstrated quantitative skills in utilizing results from market, customer, and/or institutional research to make data based decisions.

  • Familiarity with SPS program offerings.

  • Strong interest and knowledge in social media, new media and leveraging these technologies for prospect management and student support purposes.

  • Experience working with faculty and administrators at a major research university. Essential Functions CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

  • Provide leadership and strategic planning for advising and advising-related initiatives.

  • Oversee the daily operations for the advising team including managing advisor program assignments and overall team workflow.

  • Monitor team member performance to ensure advisors are effectively nurturing admitted students through the early stages of enrollment, and supporting students through graduation.

  • Lead in determining communication needs to support student advising including the creation of templated responses to frequently asked School and program-specific questions.

  • Monitor the effectiveness of advising communications and refine existing communication plans in partnership with relevant stakeholders to ensure students receive the information needed at the appropriate times and that the messages are clear, compelling, and motivating.

  • Use data collection tools to monitor student satisfaction, and develops strategies to ensure that student experience aligns with SPS goals.

  • Serve as a point of escalation for difficult student and prospective student issues, and lead in resolving challenging prospective student and student issues, partnering with the appropriate SPS team members and University resources as needed.

  • Maintain strong relationships with University partners including the Office of the Registrar, the Office of Immunization, and Student Financial Services.

  • Create and continually refines metrics for advisor caseload management, and closely manage the caseloads of advisors to ensure students are receiving appropriate support.

  • Manage the interactive telephone client used by advising team and monitor system reporting as a tool in managing team workload and caseload.

  • Oversee the control of workflow management, consistent data collection and reporting, uniformity in student experience with the school brand, and cost-effective scalability with the addition of new programs.

  • Ensure advisors are effectively utilizing CRM and other School and University tools to conduct their work and ensure consistent reporting.

  • Ensure the team of advisors are trained on University best practices for handling sensitive student issues and on University policies involving students and student records.

  • Contribute to creation of yield strategies and tactics to inform and drive action in the newly enrolled student population, build a sense of community among admitted students, and reduce melt in from common non-start issues in the final stages of admit, commit, and first enrollment.

  • Participate in recruitment and yield activities; deliver presentations and represent the School at information sessions, graduate fairs, seminars, professional organizations; host receptions and participate in other recruitment activities.

  • Assist with determining how best to promote and market SPS programs.

  • Contribute to new program development initiatives to ensure student advising needs are taken into consideration in the launch of new programs.

  • Identify success measurements and metrics to ensure the team supports team, division and overall School goals.

  • Regularly identify opportunities for improvement, develop and execute plans for ensuring ongoing improvement.

  • Regularly report on team accomplishments and progress toward goals, and on students concerns to both understand general student issues and how to proactively address student concerns.

  • Assist with schoolwide events such as orientation and graduation.
