We are seeking a Director of Occupancy Planning to drive the client's occupancy strategy and space management within the framework of corporate workplace programs, metrics and real estate strategy. This role will report to the Regional Occupancy Planning Lead and partner closely with Portfolio Strategy and our Client's Strategic Planning team. This role drives integration with relocation management, project management and facilities management functions. The Strategic Occupancy Planner Lead also serves as the single point of contact for quality control in terms of consistency in planning processes, procedures and protocols, as well as incorporation of best practices. The role has 3 to 6 direct reports and is responsible for all aspects of people management for their team.

Role Purpose

As a Strategic Occupancy Planner Lead, you'll understand the planned 1-5-year real estate strategy for all buildings and businesses in the portfolio. As OP Manager you will:

  • Ensure the client's high-level real estate strategies and programs are reflected in proposed occupancy plans and options by understanding the client's regional portfolio composition, business requirements and organizational occupants.

  • Act as main point of contact for occupancy planning initiatives and escalations specified AMER region

  • Facilitates communication between other strategic occupancy planners, occupancy planners, Org Space Program Managers, and other GREF team members

  • Serve as manager to a regional team of occupancy planners

  • Lead special, ad-hoc planning analyses

  • Establish migration plans that support real estate decisions and timing in partnership with move and project management.use data, analytical insights and strong problem-solving skills to develop and present multiple space scenarios to stakeholders and gain alignment.

  • Develops stacking diagrams of current and future state based on three-year headcount forecast

  • Partner closely with Portfolio Strategy and real estate partners to anticipate and understand the requests coming from different client groups, assess the space options available and develop options that account for competing priorities and requests.This requires strong relationship management skills along with dealing with very sensitive information.

  • Supports the Agile Workplace program through analysis of badge data and utilization studies to inform planning recommendations

  • Recommends and applies space policies/standards, procedures and protocols

You'll need to have a great knowledge in Corporate Real Estate. In this role, you will work with a diverse and integrated team including portfolio strategy, transactions, and project management and proactively drive the sizing and location of programs (client needs, amenities, campus needs) and make sure appropriate considerations and provision are made in advance. You will serve as liaison and facilitate necessary communication between planning staff, other JLL team members, client real estate staff, as well as support vendors (architects, engineers, furniture, etc.) that may be required from time-to-time in order to deliver the services outlined (important to have "partner" mindset).

To be successful in this role, you should be able to ensure global consistency in delivery of services, by providing training and review of deliverables; guarantee that JLL's continually evolving "best practices" are incorporated into the work product of the entire team; and ensure a strong collaboration with other JLL service lines. We are looking for a team leader who brings out the best in their teams and exhibits managerial courage when needed. Moreover, you will be charged with understanding the client's current and future occupancy and that all space data, held in FM:S, remains accurate and up to date, including recurring allocation reporting and portfolio reporting.

Requirements

A Bachelor's Degree in Real Estate, Finance, Architecture, Design, Construction Management, or related field is required; and a minimum of 8 - 15 years of experience in a corporate real estate environment. Previous experience in space/occupancy planning at a strategic level, plus experience with workplace strategy is highly desirable.

You'll need to be dynamic and technologically savvy and utilize data to support planning solutions and effectively communicate ideas both verbally and written with planning team, stakeholders, and businesses. You will be successful if you have advanced skills in Microsoft Excel (pivot table, vlook-up, cell calculations), business writing, and CAFM tools. You'll be effective in your role by learning to ask the right questions to understand the underlying needs of our clients and think strategically to provide recommendations. You'll discover how to be proactive and innovative with solutions for your stakeholders.

Excellent communication skills are important - both written and spoken - and we'll expect you to work independently, multi-task, and manage your time to meet deadlines. You keep on top of things as you'll often need to reorganize your time day to day, to deal with your team's changing necessities and requests. An individual with strong interpersonal skills with an ability to interact with executive level external and internal clients will be successful in the role. Most importantly, you'll want to work as part of a diverse supportive and talented team.
