Key Roles (Essential Job Responsibilities)

Club Finance

  • Manage financial functions, including: processing and recording all financial transactions in the general ledger, day, month and year end reporting, financial operations, annual budget, assets and depreciation, payroll, accounting software, and accounting practices with the oversight of the Executive Director

  • Manage office functions, including: inventory of office equipment, seeking and reviewing lease and service contracts, purchasing and compliance with various grants

  • Manage personnel support functions, including employee benefits, personnel files maintenance, personnel compliance and other duties as assigned

  • Provide support to Resource Development, Operations and Executive Director as well as other Club functions, as necessary, including preparing correspondence and reports, answering telephones and maintaining electronic and hard copy files


  • Make recommendations to the Executive Director to establish and implement policies and procedures for all financial management and office functions, ensuring appropriate controls and compliance with generally accepted accounting practices.

  • Compile regular financial reports to support decision making regarding the Club's fiscal health.

Strategic Planning

  • Collaborate with the Director of Development, Director of Operations, Executive Director and Board of Directors to develop annual income and expense budget as well as forecast financial viability of the Club.

  • Provide timely and complete reporting of financial results and recommendations for necessary actions to maintain the fiscal health of the Club.

  • Work closely with Club leadership and managers to:

  • Maintain, analyze and interpret general ledger for all funds

  • Manage the preparation and analysis of financial reports on a monthly and as needed basis

  • Oversee the process for identifying and evaluating opportunities for improved financial operations, recordkeeping and reporting, working with external auditors to prepare and review audit schedules and annual report of audit findings

Resource Development

  • Seek and secure financial support and resources by managing all assets and investments of the Boys & Girls Clubs, including real estate property, equities, bonds and other assets

Resource Management

  • Lead organizational planning and development of operating and fund account budgets and control expenditures against budget

  • Ensure the maintenance of financial records and recordkeeping systems to ensure compliance with all regulations, generally accepted accounting practices and contractual requirements

  • Ensure a productive work environment within the finance and accounting function



  • Bachelor's degree from an accredited college or university in accounting, finance or business administration

  • Minimum of three years' experience of progressively responsible work experience managing the accounting and office functions in a non-profit agency, or equivalent experience

  • Interpersonal and conflict resolution skills

  • Thorough knowledge of budgeting and accounting practices, processes and procedures of non-profit organizations

  • Ability to organize, direct and coordinate a variety of operations within the Club; facilities management; and budget management

  • Effective communication skills: written; verbal and non-verbal including presentation skills, informative nature, listening with comprehension

  • Meticulous attention to detail and confidentiality

  • Responsible decision making skills: analytical and systemic thinking

  • Established leadership skills: developing commitment, facilitating, team building, establishing and maintaining effective working relationships with Board of Directors, community groups and other related agencies

  • Knowledgeable about foundation and corporate funding processes

Responsibilities * Consistently and courteously greet and thank each customer and provide fast and friendly customer service. * Promote sales through use of suggestive selling techniques as instructed by store manager. * Conduct efficient and accurate sales transactions; notify store manager of any sales, cash or operating discrepancies; generate accurate and legible shift reports. * Handle complaints courteously and efficiently according to company policy. * Maintain a clean environment, using company guidelines. Always clean when time allows. * Know and adhere to company policies and procedures. * Utilize and perform all duties on the company checklists to meet consistent adherence to policies, procedures and expectations. * Adhere and ensure compliance with all local, state and federal regulations concerning all facets of job responsibilities and duties, and store operations. * Follow posted work schedule, and adhere to proper clocking procedures to accurately reflect hours worked. * Maintain timely and professional communication with management, employees, vendors and customers. Keep store manager informed of any maintenance problems and/or any issues that need attention. * Perform all necessary merchandising duties according to company policy and procedure; including, but not limited to proper pricing, knowledge and implementation of promotions and sales, suggestive selling, proper vendor check in, stocking merchandise, including the cooler, and keeping all merchandise clean, fronted and faced. * Assist in the proper training of new employees as needed. * Attend and participate in all required training. * Complete required daily, weekly, monthly paperwork, price surveys, bank deposits and counts by appropriate deadlines. * Assist in the timely execution of all aspects of marketing programs in assigned area. * Maintain internal and external store appearance to comply with Break Time standards. * Successful completion of Break Time Shift Leader training program * Perform other duties as assigned. Job Requirements * High School graduate or equivalent preferred. * One to three years of management experience preferred * Valid driver's license * Ability to stand 100% of the time during work shift. * Ability to perform mathematical calculations to make change, complete shift reports and account for numbers of products during vendor check in. * Ability to accurately and quickly operate specific cash register in assigned store. * Ability to take deposits to the bank and perform price surveys. * Lift, reach, stoop and or bend to retrieve products and supplies from shelves, under counters or stacks of inventory weighing up to 50lbs. * Push a broom, and/or mop when cleaning. Must also be able to reach, bend, scrub, etc. when performing cleaning duties. * Must be able to speak, read, write, and understand the English language to communicate with customers, coworkers, and supervisors. * Climb step ladder for cleaning purposes and for retrieving items. * No felony convictions to comply with Lottery sales regulations. * Ability to work any shift, weekends and/or holidays as needed. * Must be able to withstand temperatures as low as 31 degrees Fahrenheit for periods of time up to an hour, for purposes of stocking the cooler and temperatures as low as 0 degrees for a period of up to 10 minutes when stocking the freezer.
