OVERALL SUMMARY

The Director, Events is responsible for the planning and execution of all LA premieres and FYC events.

PRIMARY RESPONSIBILITIES

HBO PREMIERES and FYC SPECIAL EVENTS

  • Collaborate with Special Events team on the planning and execution of all LA premieres and FYC events.

  • Serve as primary contact to all talent/producers/crew/talent reps for all premiere events. This requires constant back and forth with all show principals, their assistants, reps and invited guests.

  • Event Planning includes: each event's red carpet layout and production, premiere screening and after party. Catering, party activities, VIP tables, flow of each event, parking, security, design/dcor, activations, etc.

  • Responsible for the overall staffing all of the premieres assigning tasks to each worker, teaching and training teams for their specific jobs, overseeing how they're doing, and serving as the principal contact for all working event staff.

  • The Special Events Director is responsible for maintaining the master list/database requires constant monitoring and updating of all our principal partners' information. Also includes tracking key contact information for press and all other key outside contacts our producer partners, agents/managers, key below the line department heads, etc. List management responsibility includes all database input and creation of each event invitation/rsvp list.

  • Help create and traffic all invitation, parking pass, credentials and other event related materials needed for each event.

  • The Special Events Director is responsible for guest check in at every premiere, which requires constant trouble shooting under a high level of stress. Position requires great diplomatic skills and outstanding on-the-spot problem solving.

HBO AWARDS GALA EVENTS

  • Work with NY Special Events and Talent Relations teams on HBO's Emmy party and Golden Globes gala events.

  • The Special Events Director co-coordinates the entire guest list for both galas. Task requires extensive knowledge of every HBO production as well as familiarity with each Awards ceremony, other network/studio nominees, members of the HFPA and Television Academy, Press, HBO Executives, Talent agents, et al.

  • The Special Events Director is responsible for carefully vetting all gala guest requests - personally adding or declining each request. This task involves literally hundreds of requests that require individual attention and handling, including but not limited to researching each person's HBO history.

  • The Special Events Director is an integral member of the events team for these gala events their input, requirements and feedback on logistics are an integral part of the planning and execution of our Awards galas each year.

  • Serve as co-head of all guest check in, which requires constant trouble shooting under a high level of stress.

PREMIERE EVENTS - PROPOSALS AND INVOICES

  • Solicit, review and evaluate premiere and other Media Relations event proposals from vendors.

  • Track all proposals/contracts/invoices/purchase orders and record all dollars committed.

  • Serve as primary liaison with vendors on planning and execution needs, negotiating what's needed, when delivery is required, and confirming each essential timeline item required for smooth production.

ADMINISTRATIVE TASKS

  • Send out all premiere invitations and take all guest rsvp's logging each in the events database.

  • Assist in overseeing the work of the Events assistant's tasks, helping prioritize tasks and providing information as needed.

SKILLS and REQUIREMENTS

  • Candidate must have a minimum of five years of experience with an entertainment company.

  • Must be extremely and obsessively detail oriented, organized, and able to multi-task.

  • Must be proficient in FilemakerPro, and all Microsoft Office applications. Photoshop skills preferred.

  • Must have strong phone skills, good judgement, ability to juggle many different tasks simultaneously without ANY errors.

  • Must excel at time-management and be able to multi-task keeping abreast of all event details often with overlapping, concurrent events.

  • Requires great diplomatic skills in dealing with talent, executives and event guests.

  • Strong eye for design, layout, and graphic presentation.

  • Strong interest in event production, has a working knowledge of what's new, what's coming up, what could be utilized/applicable to HBO Special Events.

  • Position requires initiative, immediate and long term problem-solving and follow through.

May present as needed. What do we require from you? * Bachelor's degree in marketing, communications, advertising, public relations, or a related discipline strongly preferred. * 10+ years experience in marketing and publicity preferred. * Previous experience directly related to the motion picture/ publicity industry. * Must have the ability to work effectively with publicity materials necessary for the coordination and management of publicity activities. * Must have the ability to interact with persons at all levels including talent, filmmakers, press, etc. * Must be able to write copy for promotions that will attract interest and gain wide distribution. * Must be able to coordinate people and events in the staging of promotions. * Must be able to select trailers, stills and other materials for promotions that are interesting and fulfill the media's needs and requirements. * Working knowledge of social marketing platforms. * Must have the ability to communicate effectively and tactfully with persons on all levels, in person and on the telephone. * Must have the ability to pay close attention to detail and understand written and oral instructions.
