The Department of Medical Education has an exciting opportunity for a full-time Director, Business Operations to work in Miami, FL. The Director, Business Operations evaluates, administers, and directs all business and administrative matters including budget, operations, programs, and personnel administration for the assigned department. This position also provides financial analysis and strategic planning, as well as oversees the budgetary controls in partnership with various levels of management.

  • Directs, implements, coordinates, plans for and evaluates the business operations for the department/division, which may include statistical, performance and managerial reporting, decision and budget support, capital planning, and process improvement.

  • Develops and ensures adherence to department's annual budget, in accordance with University guidelines and policies. Participates in financial analysis and planning including monitoring and reporting on monthly budget variances and opportunities to improve performance.

  • Advances strategic financial plan and makes recommendations to senior management on how to best execute the department's plan.

  • Formulates department policies and guidelines to carry out the University and department mission.

  • Oversees the review, approval and reporting of all expenditures. Reviews and approves financial transactions.

  • Creates and manages support systems to assure availability of cost effective supplies, equipment, and management information.

  • Monitors contractual obligations and ensures consistency with departmental budget, goals, and programmatic initiatives.

  • Evaluates existing internal controls and approval processes, and makes recommendations on how to improve fiscal integrity and operational efficiency.

  • Implements department human resources actions, which may include hiring, terminations, salary etc. Recruits, trains and prepares performance reports for staff.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

MINIMUM QUALIFICATIONS

  • Bachelor's degree in relevant field

  • Minimum 5 years of relevant experience

  • Ability to communicate effectively in both oral and written form.

  • Ability to maintain effective interpersonal relationships.

  • Ability to manage a budget and work within the constraints of that budget.

  • Ability to direct, manage, implement, and evaluate department operations.

  • Ability to effectively plan, delegate and/or supervise the work of others.

  • Proficiency in computer software (i.e. Microsoft Office).

Department Specific Functions

The Director of Business Operations for the University of Miami Miller School of Medicine (MSOM) Office of Graduate Studies (OGS) evaluates, administers, and drives key business and administrative matters including budget, operations, and programs. This position serves as a liaison between leadership, administrators, team members and faculty. The Director of Business Operations performs and reports on financial analyses and strategic planning, as well as oversees budgetary controls, standard operating procedures, agreements, contracts, grants, and fellowships. The Director of Business Operations also assists with strategic projects in partnership with various levels of management and other graduate programs and campus partners. The Director of Business Operations reports to the MSOM Associate Dean of Graduate Studies and the Executive Director of Medical Education.

GENERAL OPERATIONS:

  • Leads operational excellence across key centralized business functions.

  • Responsible for the oversight, direction, and maintenance of OGS administrative responsibilities.

  • Provides leadership, management, and oversight for teams and staff.

  • Acts as an administrative leader directing, managing, planning, and ensuring effective day to day operations.

  • Provides administrative reporting of operational procedures and systems to ensure operational efficiency and strength.

  • Works with departmental leadership and other campus partners to strategically assess, plan, and implement new initiatives and projects.

  • Serves as a liaison, contributor and support when needed for the MSOM on standard operating procedures, policies, and fiscal issues related to graduate programs and students.

  • Assist the Executive Director of Medical Education for OGS administrative, organizational, and operational functions.

  • Serves as the OGS administrator for implementation of the UReady emergency continuity plan.

  • Participates in the assessment of departmental needs and best practices to ensure workflow efficiency and productivity.

  • Contributes to the design and implementation of strategic plans, monitoring procedures, and practices to improve efficiency amongst all areas and provides recommendations on operational processes.

  • Implement and support departmental goals and objectives that align with the strategic plan.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with university policies and procedures.

  • Contributes to staff development and training.

  • Serves on academic and administrative committees as needed.

  • Serves as the OGS liaison with Enrollment Management, Student Financial Assistance and Employment, International Student and Scholar Services, Dean of Students Office, Toppel Career Center, Counseling Center, Student Health Services, departmental finance administrators, Faculty Affairs, and other units as needed.

  • Provides data as needed to the Planning, Institutional Research, and Assessment Office for the Southern Association of Colleges and Schools (SACS) and LCME reaccreditation.

  • Gather, compile, and report statistical information for various surveys, both internal and external, including NSF, Academic Analytics, PhD Metrics report, and other information as needed.

  • Leads programmatic and administration planning and development, as well as market assessments and feasibility analyses for current and new graduate programs.

  • Compiles and prepares graduate studies reports, analyses, and presentations.

  • Ensure that staff update all academic records in the University's systems, track student progress, and provide information for the graduation clearance process through the Graduate School and Registrar's Office in Coral Gables.

  • Other duties as assigned.

CONTRACTS / AGREEMENTS:

  • Oversees training grants, fellowships, contracts, and agreements related to MSOM graduate programs.

  • Develops and maintains a data repository for training grants, fellowships, contracts, and agreements for monitoring, tracking deliverables, budgets, and deadlines.

  • Maintains databases for graduate students, alumni, and faculty for grant proposal development, reporting, and to guide programmatic decisions.

FINANCE:

  • Oversees the review, approval and reporting of operational expenditures.

  • Provides guidance with vendor onboarding processes for new and existing vendors.

  • Creates and maintains annual budgets, tracking of expenditures and revenues,

  • Assists with decision making, review, data entry in compliance with medical finance systems and templates.

  • Supports, collaborates, implements, coordinates, plans for, and evaluates the business operations for OGS, which may include statistical, performance and managerial reporting, decision and budget support, capital planning and improvement projects, and process improvement.

  • Assists in the development and management of the fiscal year annual operating budget for all units and cost centers within OGS.

  • Provide staff and Workday approval support for OGS cost centers.

  • Leads, facilitates, and manages weekly budget meetings for faculty and OGS directors.

  • Participates in Medical Finance budget meetings and administrative-related meetings.

  • Ensures adherence to OGS annual budget and acts as a liaison assisting other units.

  • Ensures budgetary goals are tracked and maintained.

  • Creates and manages support systems to assure availability of cost-effective supplies, equipment, and management information.

  • Evaluates existing internal controls and approval processes and makes recommendations on how to improve fiscal integrity and operational efficiency.
