Requirements
Summary of Essential Duties
This role will work closely with the managing partner to oversee firm operations management, human capital, and client development initiatives of the firm. This position serves as a conduit and link between the team and the managing partners, helping to oversee firm policies, compliance, projects, and initiatives that drive the business vision and goals. This position requires the ability to effectively communicate and collaborate with all levels of the firm.
Outcome
A successful Director of Operations will:
- Ensure smooth operations utilizing existing workflow software to manage tasks and workload of staff
- Serve as the link between staff and senior leadership to make the firm a positive and fruitful place to work
Leadership
- Will work with existing practice consultants, internal and external, specifically related to marketing and event management and our Kestra Business Consultant
- Coordinate and run weekly staff meetings
- Work in cooperation with firm leaders and other managers to see that firm processes are being managed and policies are being adhered to, specifically with respect to compliance and the processing of business and establishment and maintenance of books and records
General Administrative
- Oversee document management, client files and recordkeeping, to include cloud storage
- Oversee coordination and implementation of firm projects; assign projects, obtain status reports, assist with work product as needed and ensure timely completion
Business Finances and Accounting
- Assure that employee working conditions meet legal guidelines and firm standards
- Participate in management strategy meetings concerning firm budgeting and expense topics
- Track assets inflows and outflows using the Ridgeline AUM spreadsheet
- Work with team to prepare agenda for annual meeting and coordinate outside parties
Registration and Compliance
- Manage office compliance files correspondence, BDR, RIA, signature guarantee, complaints
- Oversee advertising compliance, upload documents to Kestras compliance portal
Human Resources
- Communicate and reinforce company policies and procedures
- Train and hire and on-board new staff
- Coordinate training requirements for new employees
- Monitor and attend staff special events including annual Family Fun Day, strategic alliance events, educational client events, firm-wide team building events and special employment or promotion recognition opportunities
Technology
- Maintain organization of network folders and work with staff to ensure they comply with organizational processes and procedures
- Oversee and coordinate necessary firm-level technology training to ensure all team members are using firm technology consistently and correctly, specifically Redtail and Hubly
Business Development
- Develop marketing budgets and manage projects and initiatives to the budget
- Work with the managing partner to develop marketing systems and procedures, as well as coordinate the design and implementation of firm marketing initiatives in line with firm budget and financial goals
- Act as relationship manager for strategic alliances
- Monitor and report the impact of business development efforts
- Supervise marketing processes, including prospect follow-up and client related mailings
Knowledge, Skills & Attributes
- Bachelors degree required; MBA or management-area graduate degree preferred
- Minimum five (5) years financial services industry experience
- Minimum of five (5) years business management, operation and supervisory experience
- Advanced computer skills, including advanced knowledge of the Microsoft Office Suite and internet search and research capabilities, CRM familiarity (Salesforce, Redtail)
- Strong problem resolution skills with the ability to be detail-oriented and accurate
- Ability to manage and get along with diverse personalities
- Self-motivated with the ability to handle a heavy workload and work both independently and under direction
- Effective organizational skills and abilities to be able to multi-task, follow up and meet deadlines
- Exceptional oral, written and interpersonal communication skills
- Uncompromised ability to maintain confidentiality and integrity
