What You'll Do Here:
The Digital Publishing Assistant reports directly to the Director, Digital Publishing for National Geographic Learning and helps to manage day to day meetings, product schedules, plans and updates. The DPA will provide a wide array of administrative tasks including research, preparation of presentations and documents, updating Excel spreadsheets, posting documents to internal shared site resources, arranging team meetings, processing invoices and contracts, and arranging travel as needed. The DPA will provide administrative support for the digital publishing team on an as needed basis.
Assists the Director, Digital Publishing in setting meetings, maintaining schedules, and all meeting details such as meeting invites, dial in numbers, food, etc.
Helps schedule and coordinate team and stakeholder meetings including setting up virtual communication such as Zoom, WebEx, Go-to-meeting, etc.
Updates systems (such as IPS), schedules, meeting notes, budget tracking spreadsheets, etc.
Helps to maintain and document process updates and post as required on internal intranet sites.
Assists the Director, Digital Publishing and team members in communicating with authors/writers, vendors, internal and external customers, and team members globally.
Takes on special projects as needed in support of digital content development group initiatives.
Assists in the creation of monthly reports and PowerPoint presentations.
Assists with administrative and team tasks as needed, i.e., setting up vendors in approval systems, processing & coding invoices, permissions, reviews, mailing documents, etc.
Skills You Will Need Here:
B.S. or B.A. degree or equivalent
Strong organizational and interpersonal skills
Excellent written and verbal communications skills
Attention to detail
Strong computer skills in MS Word, Excel, and PowerPoint
