Job Introduction

Diagnostic Report Tracking Specialists (RTS) supporting the Veterans Evaluation Services (VES) administered by Maximus, make an impact everyday by following up on diagnostic results for VHA/VBA cases daily; following up on results requested by QA or the managers and investigating No Shows for diagnostic appointments. To prepare you for this role, the VES provides paid, comprehensive training which ensures all new employees provide the highest levels of knowledge and professionalism.

Job Summary

Essential Duties and Responsibilities: - Investigate on diagnostics over 48 hours late; - Review diagnostic reports matching in OMS; - Leave comments for each call made or follow up with Facility; - Call Veteran to verify if they completed their test. If Facility says they have not done so then also to confirm correct Name and DOB; - Receive diagnostic mail - Confirm diagnostic is uploaded in OMS; - Manage Facility online web portals for diagnostic reports; - Faxes ROI forms per Facility request to their medical records department; - Follow up QA request for late Diagnostic reports Additional Duties and Responsibilities: - Pull reports from Facility portal and send to uploader; - Respond to voicemails and emails within 24 hours; - Other duties as assigned. Knowledge/Skills/Abilities: - High levels of organization, time management, job prioritization, multi- tasking and interpersonal skills necessary to provide effective work atmosphere and to develop as well as to maintain a productive working relationship with staff members, veterans, physicians and VA; - Effective and concise communication skills necessary to provide information in a courteous and comprehensive fashion (oral and written) with the goal of positive resolution(s); - Proficient working knowledge of Microsoft Word, Excel, Outlook and Power Point; - Advanced multi- tasking skills; - Knowledge of medical terminology; - Knowledge of company policies and procedures. Minimum Qualifications: - High School Diploma or GED required; - Some College preferred.

Requirements

Maintain close communication and builds rapport with providers to capture exam availability, and build a relationship of trust and confidence. Speak with veterans when needed to confirm early notice appointments. Assist veterans and/or providers with any questions they may have. Share all provider information with Provider Recruiting and Credentialing ("PRC") Department in order to find solutions for difficult geographic areas.Job SummaryEssential Duties and Responsibilities: - Search veteran cases in assigned regions within OMS; - Call or email providers to request exam time availability and schedule examinations; - Coordinate with traveling providers to conduct examinations in high volume areas; - Notify veterans if providers call to reschedule;- Add and remove provider block times into OMS when necessary; - Daily check and schedule cases that are assigned the Pending Follow- Up Schedule Status;- Always ensure the appropriate scheduler is assigned to the correct case; - Schedule veterans diagnostics based on availability of facilities, availability of veterans and VA contractual guidelines;- Prioritize scheduling based on VA and VES expectations;- Act as a point of contact for facilities in order to certify that veterans are seen according to VES guidelines and in a timely manner;- Assist diagnostic management with reschedules while adhering to internal and VA guidelines;- Assist diagnostic uploaders with redundancy checks by cross referencing facility correspondence with VES databases to ensure all diagnostic results have been received; and- Assists add- on scheduler with last minute scheduling requests from the QA dept.- Occasionally attend meetings regarding difficult geographic areas in assigned region;- Assist other schedulers if volume in assigned region has diminished;- Promptly address emails and voicemails on a daily basis; and- Must abide by HIPAA regulations by maintaining confidentiality of records and personal information. Knowledge/Skills/Abilities: - Intermediate knowledge of pertinent medical terminology;- Advanced verbal and interpersonal skills;- Advanced written communication skills, to include excellent grammar;- Advanced reading and comprehension abilities;- Advanced analytical skills and detail-oriented;- Advanced multi-tasking skills;- Advanced organizational and prioritization skills, with strong ability to meet strict deadlines;- Proficient typing skills; and- Proficient with Microsoft Word, Microsoft Outlook, Adobe Acrobat, general internet research, and beginner knowledge of Microsoft Excel.
