Position Overview:

The Database Administrator will support the internal systems, technologies, and procedures of the development department by managing all aspects of the donor database (Raisers Edge and Raiser's Edge NXT). The ideal candidate will demonstrate an ambitious professional interest in the systems associated with running an expanding fundraising program. They must understand the importance of entering timely and accurate data, enjoy continuous improvement for the database system, appreciate the need to use discretion and be accountable for this core function. This position will work in close, daily partnership with the resource development team and the finance team.

Key Responsibilities:

RAISERS EDGE / DATABASE DUTIES - 30% of time

  • Responsible for Raisers Edge database; serve as in-house staff expert and quality control manager.

  • Train all new development department staff; provide ongoing RE training as needed

  • Work with Data Manager to produce a Gift Processing Guide; update guide as needed.

  • Generate queries, exports, and reports; familiarity with complex reports is critical.

  • Responsible for data hygiene including but not limited to data auditing, deduplication and merging of records, identifying, and fixing errors.

  • Produce training documents and videos for Raisers Edge NXT and RE7 to keep staff up to date.

  • Add and edit field codes in Raiser's Edge; share updated coding with development staff.

  • Report monthly on assigned revenue categories for Board of Directors.

  • Contact donors or third-party vendors for clarification when there are questions about a gift.

  • Coordinate with Portfolio Managers on custom thank you letters and Comm dept for TY letters.

  • Serve as backup to the Gift Processing Specialist for gift entry/processing during periods of heavy workload, especially around events and year end.

COM DIRECT MARKETING PROGRAM - 30% of time

  • Support the Annual Fund Manager in data related components of the COM direct marketing program

  • Produce the Projected vs Actual report as requested from Habitat International quarterly.

  • Produce the Overlap Report as requested.

  • Pull and submit all data requests that come from the COM direct marketing vendors.

  • Attend pertinent sessions of the quarterly Stop and Assess two-day meeting.

  • Attend monthly direct marketing collaboration meeting with HFHI staff.

  • Cross train with Annual Fund Manager on other aspects of COM as the program grows.

ACCOUNTING - 20% of time

  • Input all pledges and in-kind donations into Raiser's Edge.

  • Prepare pledge invoices for event sponsorships as needed; track fulfillments/write offs.

  • Review outstanding pledges with development team for cleanup prior to producing semi-annual donor statements.

  • Work collaboratively with the finance team to identify weekly ACH revenue and post gifts in Raisers Edge.

  • Responsible for downloading donation reports from credit card portals and entering the data into Raisers Edge.

  • Responsible for running monthly donor credit cards and entering the data in Raisers Edge.

  • Work throughout the month on revenue reconciliation with the finance team to ensure QuickBooks and Raisers Edge balance monthly.

  • Support the finance team during the annual audit with any data or reports they or the auditors require.

  • Prepare annual 'end of year' tax letters for monthly givers and select others.

  • MARKETING - 10% of time

  • Generate donor contact listings from Raisers Edge as requested by the Communications department.

  • Ensure that online appeal coding is fully integrated into Raisers Edge.

  • Work with Communications department and Gift Processing Specialist to verify email list for monthly E-news reports is current.

  • Work with Communications and Events Coordinator to produce email lists for fundraising outreach

Other

Support all Resource Team events through recruitment efforts, administrative support, and other activities, as necessary.

Required Knowledge, Skills, and Experience:

  • Minimum two years Raisers Edge database experience required, with an emphasis on queries, reports, and data imports.

  • Proficiency in gift entry, imports, reports, and pulling donor queries.

  • Proficient with Microsoft Office Suite, especially Microsoft Excel.

  • Possesses an extraordinary attention to detail and organizational skills.

  • Understands general accounting procedures and is proficient in basic math.

  • Demonstrates strong analytical and problem-solving skills and ability to interpret and explain data analytics to team members.

  • Competency in managing a large volume of tasks independently, balancing competing priorities and meeting critical deadlines.

  • A strong track record demonstrating initiatives and results.

  • Able to respond creatively and with good judgement to challenges.

  • Exercises high ethical standards, including donor confidentiality.

  • Passion for serving low-income households in our community.

  • Self-motivated with exceptional organizational and administrative skills

  • Ability to work effectively and collegially with coworkers and Habitat supporters.

Preferred Knowledge, Skills, and Experience:

  • Raiser's Edge/ Raisers Edge NXT Certification

  • 2+ years of experience in development for nonprofit organizations

  • Audit experience

  • Working knowledge of products like Give Lively, Salsa, lmport-o-matic.

  • Understanding of the Portland Metro philanthropic community.

  • Any qualifying combination of education, certification, and experience that demonstrates the ability to perform the duties of the position.

Work Environment and Physical Demands

OFFICE/HYBRID

  • Fast-paced, open, team-oriented, business casual office This position may be eligible for remote/hybrid work based on responsibilities, performance, and access to essential work-related resources.

  • The employee will routinely use standard office equipment such as computers and phones

  • This position may have occasional local travel

Schedule

OFFICE - ALT SCHED

  • 40 hours a week generally Mon-Fri 8:30-4:30, but variable, occasionally evenings and weekends dependent upon appointments and events. Some travel and occasionally working from a build site or company's location

Starting Salary Expectations:

Minimum $23.30/hour to wage range midpoint of $28.38/hour. Placement will generally not exceed the midpoint based on qualifications, experience, and internal equity. The full wage range is $23.30\hour to $33.77/hour.
