GENERAL SUMMARY / OVERVIEW STATEMENT

Reporting to the Sr. Director, Staffing and Professional Services, this position provides administrative support to the Sr. Director and other senior staff of the Operations team at the Brigham & Women's Hospital Development Office.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Applicant must have a strong customer service focus and excellent interpersonal skills. Must be able to effectively communicate and be a self-starter. Able to handle multiple projects simultaneously, managing and negotiating deadlines as needed. Regular responsibilities include:

HR Support:

  • Serve as the office timekeeper for a growing development office

  • Coordinate all on-boarding and off-boarding logistics, assigning onboarding Buddies, interfacing with Partners departments, as well as tracking and managing key onboarding deadlines

  • Schedule and coordinate Passport On-boarding program

  • Organize and maintain confidential HR files i.e. supporting the annual appraisal program, including distribution and tracking all materials, coordinating with BWH central HR

  • Submit, manage and track job postings and job descriptions

  • Provide administrative support for the annual development office Shadow Day

  • Develop and maintain the Professional Development Database that tracks training activities and conference attendance

  • Coordinate professional training activities to including training communications, scheduling, attendance tracking and, survey follow-up

  • Oversee the scheduling and communications of all Brown Bag lunch sessions

  • Maintain department Org Charts, Seating Charts and Employee Data Spreadsheets

  • Develop systems and processes as needed to simplify work and create efficiencies

  • Assist and provide guidance, as appropriate, in HR areas to the full and part-time Administration Associates

Operations/Administration Support:

  • Maintain operational systems for office management and personnel moves and related communications

  • Act as Office Ergonomics Champion, handling inquiries and assisting in purchases when needed

  • Staff the main reception desk, as required

  • Responsible for Kronos Self-Service training for new Associates/Coordinators. Schedule meetings/appointments and update calendars

Information Services Support

  • Responsible for all IS infrastructure support for new hires and employee moves

  • As appropriate manage software licenses E.g. GoToMyPC and Office 365

  • Track maintain and support IS equipment working with Partners on installations, upgrades and maintenance.

Other

  • Act as backup for the following as needed;

  • Candidate interviews and activities

  • Receiving and process incoming mail

  • Other duties as assigned

QUALIFICATIONS

  • BA/BS Degree required, with 3-4 years of experience preferred

  • Independent decision-making, good judgment and ability to execute multiple assignments at any given time

superb organizational skills with meticulous attention to detail

  • Ability to achieve consensus amongst a group; resolve conflict

  • Excellent oral and written communications skills with strong proofreading ability

  • Strong computer literacy with Microsoft Office Products, to include database development and management using Access, and Excel, Word mail merge functions, and PowerPoint presentations

  • Experience with timekeeping systems, Kronos preferred

  • Enthusiastic attitude and an appreciation for a fast-paced, professional environment

VIEW JOBS 10/9/2019 12:00:00 AM 2020-01-07T00:00 General Summary: The Grants Coordinator will be part of a dynamic central research administration (grants management) team for the Department of Surgery. S/he will primarily work with surgical residents and post-doctoral research fellows with pre-award and post-award grants management. The Grants Coordinator will also assist the team with grant-related projects and reporting. This position will report to the Senior Research Administrator Team Lead and the Senior Administrative Director of Research. This is an entry-level position to the Research Administrator career path. The Grants Coordinator will develop basic grants management foundation and skillset to become a Research Administrator with the goal of advising junior-senior faculty and principal investigators. Principal Duties and Responsibilities: * Act as primary contact and resource for DOS resident researchers and post-doctoral research fellows on pre-award and post-award grant management; provide oversight of grant funding from federal, non-federal, foundation, and government agencies. * Pre-award duties include: interpretation of sponsor guidelines, assistance with identifying funding opportunities and reviewing eligibility, assemble administrative sections of grant proposal applications (i.e. budget, justification, biographical sketch, letters of support, etc.), timely submission of grant applications, and preparation of Just-In-Time requests. * Post-award duties include: monitoring of grant expenditures in adherence to sponsor guidelines, compliance review, grant close-outs, assist with progress report submissions, regular review and maintenance of PI's Other Support pages, administer publication compliance, generate financial reports and projections, etc. * Meet regularly with DOS resident researchers and post-doctoral research fellows to review pre- and post-award tasks. * Meet regularly with Senior Research Administrator Team Lead to provide status updates and progress of grant portfolio items and issues. * Engage as part of the research team in problem-solving, process analysis, efficiency improvement, and financial analysis. * Interact with external parties, departmental and central offices to accomplish research goals and resolve grant issues: DOS Surgical Education Office, DOS Resident Research Council, DOS Center for Surgery and Public Health (CSPH), Partners Research Management, and Partners Research Finance. * Attend monthly BRISC meetings to keep current with policy updates, regulations, research trends, and best practices. * Assist Administrative Director with research-related requests and initiatives impacting the entire Department, including: o Run queries and distribute monthly reports from MicroStrategy and Insight o Enter journal entries and cost transfers o Develop instructional documentation of internal processes o Collect information from stakeholders for metrics reporting o Create requisitions for purchase orders in PeopleSoft o Contribute to website development * All other duties as assigned. * Bachelor's degree or equivalent * Experience in healthcare, hospital, or academic environment preferred Skills and Competencies: * Excellent organizational and interpersonal/communications skills. * Advanced reading comprehension with strong attention to detail. * Works efficiently and effectively on assigned duties. * Highly engaged with enthusiasm for change; willingness to take on new challenges. * Demonstrated ability to be flexible in deadline-driven environment that requires continuous monitoring of priorities and multi-tasking. * Demonstrated proficiency in Microsoft Office, Word, Excel, Access and Internet applications. * Highly task-oriented, self-motivated, and able to work independently as well as in coordination with various teams.
