Job Summary

The Development Coordinator is responsible for providing centralized team support for the Foundation Development Department, maintaining accurate donor records, processing gifts, purchase orders and invoices. Responsible for all administrative and clerical tasks necessary in performing the duties of this position. Serves as liaison with the Foundation Finance, Marketing, and Operations departments. Works on special projects to advance the department's efforts in identifying new donor prospects and cultivating and stewarding existing donor base. Develops and maintains relationships with internal constituents and within the hospital with the ultimate goal of increasing revenue to the organization.

Job Specific Duties

  • Works alongside foundation development officers to ensure stability, continuity, and growth in the fundraising program at Nicklaus Children's.

  • Provides critical thinking and analytical talent to draft gift agreements for unrestricted and restricted gifts in partnership with Development Officers and works with Legal department to edit and processes the finalized documents.

  • Works cross-functionally to manage the workflow of the stewardship/acknowledgement letters process for donors over $25,000.

  • Manages the resolution of complaints, errors, or disputes with regards to acknowledgment, recognition, and stewardship of donors and/or their gifts.

  • Works with external constituents to coordinate and complete the documentation to accept planned giving distributions, as well as, documenting internally.

  • Works with internal stakeholders and external partners to oversee, manage, and execute the matching gift program.

  • Serves as Liaison to service lines and hospital departments regarding fund requests, questions, and initiatives.

  • Presents and solicits at hospital new hire orientation to raise funds for the employee giving program.

  • Administers the honor/memorial donation program to ensure proper notification and reporting of gifts.

  • Manges the gift transmittal process to completion and to ensure accuracy. Provides essential details to ensure accurate gift processing and fund designation.

  • Serves as primary liaison to Foundation Finance department to assist with donor records. Submits check requests, processes reimbursements, orders office supplies as needed.

  • Maintains and distributes the Development team memberships and calendar of events.

  • Enters appropriate and relevant information into Raiser's Edge. Documents and maintains accurate constituent records for current and prospective donors.

  • Manages, plans, organizes, and carries out special projects in conjunction with the development team.

  • Ensures accurate and timely database entries, including donor interactions and development plans, and is responsible for database management of all related job tasks. Creates and maintains reporting mechanisms to support department goals as needed.

  • Communicates at the request of Leader(s) with designated donors to maintain engagement and to surface major gifts and prospects.

  • Assists with the planning and coordination of major gift solicitations, stewardship and donor recognition as directed. Responsible for coordinating meetings and managing calendars for multiple leaders, including tracking pending meetings and entering scheduled, planned, and completed meetings in Blackbaud CRM.

Minimum Job Requirements

  • Bachelor's Degree

  • 2-4 years of experience working in non-profit field

  • 2-4 years of database experience; Raiser's Edge experience or equivalent

Knowledge, Skills, and Abilities

  • Ability to balance multiple priorities in a fast-paced environment.

  • Experience with computer systems including web based applications and Microsoft Office applications (Outlook, Word, Excel, PowerPoint, and Access).

  • Excellent oral, written, interpersonal, exceptional customer service, and organizational skills.

  • Ability to use critical thinking, analytical skills, and exercise sound judgement independently.

  • Knowledge of Microsoft Office Products (Outlook, Word, Excel, and PowerPoint).

  • Ability to understand the needs and interests of donors and supporters in order to develop relationships between them and the Foundation.

  • Dedication to promoting the Foundation's fundraising priorities.

  • Excellent problem-solving skills.

  • Ability to take responsibility, work well as a team member, and work independently.

  • Able to work outside of regular business hours, including weekends, to represent the department in community events.

  • Able to travel locally.
