Essential Duties

1.Coordinates with other departments at Yale to develop or enhance proposals and briefings summarizing Yale activities, and to plan events.2. Develops and maintains a log of Yale academic and programming activities having development potential for prospects and donors.3.

Coordinates and staffs events. Helps secure hosts and locations for events. Works with Special Events team to secure campus locations.

Produces invitation and confirmation cards. Compiles and maintains invitation lists, extend invitations, confirms attendance, ensures attendance accuracy, prepares biography for guest speakers, prepares Event Flow documents, staffs selected events, and contacts vendors.4. Conducts research on individuals, corporations, foundations, governments and institutions using office files, databases and internet search engines and resources, including sources in other languages when relevant for international development.5.

Drafts a wide variety of written materials including detailed biographical and business briefings, correspondence, proposals, endowed gift agreements and stewardship reports.6. Designs, develops and produces ad hoc reports and analyses by report generation and manipulation of information systems, including our primary Alumni database.7. Researches and investigates gift commitments using office files and databases.

Ensures the accuracy of gift acknowledgments and all information relayed to prospects.8. Builds strong relationships with staff and serves as a key contact on questions relating to various departmental needs.9. Interacts with donors at the request of director and/or gift officers in response to inquiries.10.

Assists with the assignment of tasks to student workers.11. May perform other duties as assigned.

Required Education and Experience

Eight years of related experience, six of them in the same job family at the next lower level and a high school level education; or six years of related experience and an Associate's Degree; or two years of related work experience and a Bachelor's Degree; or an equivalent combination of experience and education.

Position Focus:

The Coordinator will serve as the YSPH Development team's principal source of information on gift processing and new fund setup. The successful candidate will independently manage stewardship reporting for all the School of Public Health's endowed funds as well as a select group of current use funds and maintain up-to-date records of changing details or reporting requirements for each fund and lead and manage special projects involving large events, significant data collection, or the Leadership Council. They will also implement, propose, and document new processes for streamlining efforts to capture development and alumni affairs work/data in Hopper.

Receive checks mailed to the YSPH Development office and complete required paperwork for Gift and Records Services to deposit money into correct accounts. Book pledges and manage the setup of a new gift account designations and fund setup in accordance with a formalized gift agreements dictating donor terms of payment.

Work with the YSPH Business Office to secure new fund Charts of Accounts, to communicate details of funds available to internal parties, to deliver quarterly reports on new funds established, and to evaluate open pledge balances for annual budget planning. Monitor all incoming gifts from donors, communicate with Gift and Records Services regarding incoming cash wires, ACH transfers, etc., and ensure all money is secured, designated, and credited correctly. Oversee requests for gift adjustments as needed.

Independently manage stewardship reporting for all the School of Public Health's endowed funds as well as a select group of current use funds. This stewardship effort requires overseeing the creation of an annual brochure or video that gets distributed to donors. Maintain up-to-date records of changing details or reporting requirements for each fund.

Assist in developing annual development and alumni affairs budgets and track/process all expenses against respective budget sources. Take the lead on managing and executing special projects and events that are either tasked by the Senior Director of Development & Alumni Affairs or assumed through personal initiative. Develop and document initial parameters of team projects, map out key stakeholders and requirements of projects, secure approvals and cooperation needed, communicate/assign project roles as needed, and oversee completion/submission of deliverables by deadline(s). Attend AA&D Hopper trainings and informational sessions regarding database updates to maintain expert-level understanding of Hopper resources for the YSPH Development & Alumni Affairs team and educate the team on relevant changes to database processes.

Regularly pull and maintain top donor lists and revenue queries for reporting to the dean. Develop original queries to track and analyze donor/alumni engagement and giving and implement, propose, and document new processes for streamlining data input and collection to capture the work of YSPH develop and alumni affairs in Hopper. Create presentations, meeting agendas, and guiding documentation for the Yale School of Public Health Leadership Council (the School's Advisory Board). Schedule and attend Nominating and Philanthropy Committee meetings, document next steps/action items after meetings, then communicate such information to Committee members. Other duties as assigned.
