Position Overview
Emancipet is looking for a pet-loving, creative, and strategically-oriented individual to help share our mission and impact. As a network of non-profit vet clinics, founded in 1999, with clinics in Austin, Houston, Killeen, and Philadelphia, we are on a mission to make vet care affordable and accessible for everyone.
The Development Associate (DA) is a critical adhesive, holding together a number of key functions in Emancipets fundraising efforts. From data entry to donor relations, this role is a combination of ticket window, backstage, and technical management, interacting with staff, donors, and systems to assist in securing the resources needed to help make veterinary care affordable and accessible for all pet owners. The DA serves as the development departments primary administrative staffer and database manager.
Essential Duties and Responsibilities:
DONOR SUPPORT:
Ensures the accurate and timely processing of donor and gift information, acknowledgments, data management, and reporting to deliver a transformative giving experience for donors.
Partners with key stakeholders and team members to accurately understand, capture, document, and communicate gift-tracking processes
Manages the Info and Philanthropy email inboxes by responding to timely donor concerns/requests, redirecting to the correct staff representative, and supporting donors with inquiries about making gifts
Supports the CEO, Chief Development Officer, and fundraising team with donor memos and donor research as needed
DATA GENERATION, INTEGRITY, TRAINING, and REPORTING:
Report and Dashboard Generation & Database Optimization: Develops and builds reports and customizations to ensure timely and accurate results; manages segmentation for donor outreach audiences and internal tracking; ensures that the database is continually optimized for tracking and reconciliation purposes.
Donation Tracking: Records gifts in the Salesforce database; tracks donation pledges; ensures Salesforce reports are working seamlessly and accurately.
Proven ability to develop, test, and validate deliverables such as reports, KPIs, data lists, and system upgrades to ensure timely and accurate results in a team environment
Oversees and optimizes the Salesforce database, including user and application management, troubleshooting, customization and system upgrades, and user training to ensure system accessibility, accuracy, and reliability.
Creates, leads, and implements training for the development team on database functionality as well as assisting with impromptu database reports, tools, questions, and requests.
Manages data integrity by keeping accurate donor data records and processing all monetary, stock, bequest, and in-kind donations by developing and implementing a regular large-scale schedule of data cleaning and deduplication, regular system checks including utilizing workflows and automation tools such as Zapier, Zaapit, Opero, and Apsona and establishing, documenting, and maintaining consistent and standardized procedures for data management.
Collaborates regularly with the Finance Dept for monthly financial reconciliation.
DONOR PROSPECTING:
Reaches out to new leads via email for initial discovery
Identifies new donor leads and flagging for Major Gift Officers; conducts initial donor research for Major Gift Officers; and monitors portfolio tracking and moves management
OTHER DEVELOPMENT DUTIES:
Leads the implementation and usage of other donor data tools and platforms that connect to the database, such as BetterUnite, Stripe, and more
Collaborates with the finance team to ensure seamless monthly reconciliation and accessibility of data for revenue reporting for audits and tracking of outstanding pledge payments
Collaborates with the marketing team to ensure proper database connections with online donations with platforms such as GiveWP, Donor Box, and Stripe.
Owner of department donor snail mail activities
Supports the Emancipet fundraising team with administrative tasks like ordering stamps and other supplies
Supports Emancipet events with planning, registration, and logistics (as needed)

Requirements:
Exceptional communication and interpersonal skills
Excellent time-management skills
Experience building email lists and managing donor segmentation
Familiarity with financial reconciliation and accounting
Occasional evening/weekend availability
Attention to detail and commitment to delivering transformative service
Highly experienced with Google Suite, Salesforce products, and other automation software
Alignment with Emancipets foundational belief, mission, core values, and bottom lines
Education and/or Experience:
2+ years of experience working with Salesforces donor database and processing gifts
2+ years working in nonprofit fundraising
Experience in database management or related field, recommended
Bilingual abilities are a plus (Spanish specifically!)
A positive attitude and glass is half-full approach to the world
Starting rate: $53,000 - 63,000 annually
Location: Hybrid in Austin, TX; Houston, TX; or Philadelphia, PA
Regular travel to our administrative headquarters, regional clinics, and events. Occasional travel to other regions to support on-the-ground events.
