Job Summary

The design operations manager is responsible for efficiently managing the logistics and administration for the experience design team(s) and its resources. The Operations / Resource manager is responsible for maintaining a work environment that enables design productivity for an experience design team and includes responsibilities for logistics, facilities, procurement, and staff and project onboarding.

Responsibilities include:

  • Procurement

  • Coordinate and manage procurement process for software, hardware, etc as needed to enable design team

  • Coordinate contracts/ Statement of Work with vendors and manage through the procurement process.

  • Track inventory of equipment/software

  • Logistics

  • Manage Ad-Hoc Client Requests

  • Equip Project Teams (Supplies & Materials)

  • Coordinate Event/Workshop (e.g., invites, scheduling, Catering, seating arrangements)

  • Provide Client Access (e.g., Badges, Parking)

  • Manage scheduling and logistics for dedicated design studio(s)

  • Facility Management

  • Reserve Rooms

  • Plan Room Setup

  • Coordinate with Facilities Staff (Maintenance, AV, Tech, Security, Parking)

  • Order / Restock Office Supplies / Food

  • Manage design studio space (scheduling, procedures, etc); coordinate setup of new design spaces

  • Staff Onboarding

  • Order software, equipment, access, etc. for new hires

  • Coordinate training and new hire orientation

  • Manage access/set up new employees or contractors (e.g. beeline)

  • Vendor Management

  • Build and Maintain Vendor Relationship

  • Communicate with Vendors on Behalf of Studio

  • Coordinate to Minimize Disruption (e.g., Construction)

  • Financial Management

  • Reconcile Design Expenses

  • Send Invoices for Payment

  • Analyze Project Actuals to Baseline Forecast

Qualifications:

  • Bachelor's degree with 1-2 years' work experience

  • Experience with State Street administrative processes a plus

  • Excellent verbal and written communication skills

  • Strong organizational, analytical and project management skills

  • Results and action oriented attitude

  • Proficiency with Microsoft Office applications, including Outlook, Word, PowerPoint and Excel

  • SharePoint experience a plus

  • Project management skills; ability to manage projects on tight time frames and realign priorities and deliverables to ensure milestones and targets are achieved

  • Knowledge of design thinking and experience design practices a plus
