General Description:

The Shipping and Receiving Deputy Manager is to assist in daily business operations of the management team, to support Logistical warehouse operations at various sites, Office and Lab space planning, Transportation, Chemical handling & Shuttle program to engage and provide leadership to a team of Material handling staff. This position has primary responsibilities to include planning, assigning, and evaluating work assignments completed by S&R staff. The responsibilities include the daily field-supervision of the Material handling team, and to assist in the coordination of multiple activities by aligning the needs of other departments, equipment, supplies, and other resources.

Supervisory Responsibilities:

The key roles for this person is to engage logistical, movement and operations team throughout the work day and function as a support mechanism for ongoing activities. Serve as a correspondent who informs their coworkers and stakeholders in departments campus-wide to provide status on any number of uncompleted tasks.

Assist with the Document Control process by organizing and managing all regulatory documents, PMs, and to load time sensitive documents into network folders and SharePoint sites. Manage requests that come in from vendors, our lab partners and others .Assist in creating S&R Newsletter and publish notifications in SharePoint and the HRL Intranet. Update the Movement calendar to Schedule Activities and monitor schedules and task completions.

Essential Duties:

Maintain a safe and effective operating environment, with a focus on well-trained staff and with a focus on continuous improvement.

Oversee and supervise team of union-affiliated staff.

Assist in progressive disciplinary process with HR in the area of counseling, oral and written warnings, monitoring documentation; ensures a productive labor climate in the warehouse operation.

Schedule and assign duties in Shipping, Receiving, Chemical material handling, Movement & Transportation.

Supervise S&R docks satellite sites in Calabasas, Lost Hills, and Camarillo.

Provide a hands-on approach in directing of warehouse day-to-day activities to include order filling, stocking, shipping, receiving, and inventory control.

Monitor timely data entry completion flow of receiving paperwork receipts into cost point ERP system

Assure completion of record keeping in Shipping, Receiving, Exports, DG declarations, Inspection reports & training record keeping.

Assist Manager in keep track of staff daily schedules, time clock activity and approvals, PTO & Sick time..

Monitor workloads at each site and schedule and assign staff and resources as needed.

Monitor storage request, assigning locations, space allocation and assuring movement is completed in a timely manner

Assist in Shuttle program. Monitoring Schedules, alternate routes, usage, extra picks ups, drop-offs & planned Maintenance.

Fleet Management: Including Company cars, trucks, fork lifts & Golf carts. Monitor PM Scheduling, Insurance, DMV annual renewals, vehicle fueling (Including propane, Car washes, Fork lift check offs and Fleet reservation program.

Support requests of all operating groups/departments within HRL in a timely and professional manner

Assist in the development and implementation of processes which enhance system efficiencies and increase productivity

Perform other duties as assigned and required to advance the needs of HRL.

Maintain proficiency in all areas as it pertains to his/her area(s) of responsibilities assigned.

Coordinates recommendations for the selection of freight carriers and professional services. •Recommends and implements adjustments as necessary to increase efficiency, safety, improve operations, decrease response and turnaround times and streamline work processes.

Manage vendors through all phases work including quality inspections and verification of work product.

Conducts job reviews, audits and maintains metrics.

Assign movement jobs and preventative maintenance, quarterly, etc. inspections to the appropriate docks.

Create and approve Purchase order requisitions.

Respond and resolve logistical issues including lost packages and opening and closing freight damage claims that affect the quality of all ongoing processes and procedures by our Lab partners.

Required Skills:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Computer skills using Outlook, Excel, PowerPoint, Word, Fed-ex Ship manager and UPS World ship are required. Experience with SharePoint, Visio, is desired, but will train.

Must have knowledge in DG Shipments (IATA and CFR49). Import and Export knowledge. UPS World Ship and Fed-Ex Ship Manager and Freight forwarders.

Must have knowledge of AS9100 and ISO9001 auditing and requirements. Which include assisting in updating procedures, SOPs, work instructions, Business guides, monitoring Metrics, yearly audits, customer surveys and training & completing CARs and OFIs in a timely manner.

Must have good reasoning ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Professional, outgoing, proactive and highly organized.

This position will interface with all departments of the company.

The ideal candidate can perform effectively in a fast-paced environment where multitasking and prioritizing is essential.

Required Education:

A 2-Year Degree in Business or commensurate experience, and 2-Years' experience in Shipping and Receiving Management.

Able to work flexible hours and weekends as required.

Compensation:

The base salary range for this full-time position is $90,640 - $113,353 + bonus + benefits.
