Departmental Overview

The Department of Environmental Science, Policy, and Management (ESPM) is seeking a Departmental Assistant. We seek a dynamic, thoughtful, adaptable individual who enjoys an academic/research working environment.

This individual will provide administrative support to the department chair, CAO, and ESPM central office.

The Department of Environmental Science, Policy, and Management (ESPM), a multidisciplinary academic department in the College of Natural Resources (CNR) on the Berkeley campus, encompasses basic and applied aspects of biological, physical and social sciences as applied to natural resources and natural resource-based production systems in support of the education, research, and extension programs of CNR. ESPM is the largest of CNR's four departments. ESPM has 54 faculty, 14 Specialists in Cooperative Extension, 50 emeriti faculty, more than 80 visiting scholars, specialists, and post-doctoral researchers. ESPM's teaching programs include more than 1000 undergraduate students, 5 majors, and approximately 140 students at the graduate level.

Responsibilities

Under the direction of the ESPM Department Chief Administrative Officer, this position is part of a four-person ESPM team and, as such, serves as an integral part of the department team.

  • Administrative Services: Responsible for day-to-day operations within ESPM's departmental office, providing confidential administrative support to the Chair and CAO.

  • Coordinates ESPM faculty meetings and ESPM council meetings.

  • Independently coordinates the Department's reception and mail functions. Coordinates ESPM Seminar Committee.

  • Edit and keep department website and department and DANR directories up to date.

  • Maintains efficient workflow in the Chair's office, responds to department, division, campus, and public inquiries.

  • Act as department's event planner; handles all aspects of event coordination (Holiday Party, Department Colloquium, etc.).

  • Acts as point person for Chair's appointments and signature requests.

  • Generates and counts ballots for department-wide votes for academic hires and promotions.

  • Prepares BearBuy departmental purchases, departmental reimbursement requests and travel and entertainment requests.

  • Assists with the flight arrangements, accommodation, visiting agenda, and travel reimbursement for ESPM faculty recruitments.

  • Processing student evaluations.

  • Undergraduate/graduate services support: Assesses appropriate needs of undergraduate students and graduate students and refers students to specific student programs or units such as the Berkeley Connect Mentorship Program, the Graduate Division, the disabled student program, financial aid, University Health Services, college/departmental advisors.

  • Special Projects: Special projects as assigned by the Department leadership.

Required Qualifications

  • Experience working in a confidential, fast-paced, high volume, multi-cultural customer service environment.

  • Ability to work with numerous University departments and communicate effectively with a diverse group of staff, students, and faculty, both orally and in writing.

  • Political acumen and ability to use knowledge of University policies and procedures to solve problems.

  • Demonstrated attention to detail and ability to organize and prioritize work, determine own schedule, meet deadlines, handle multiple projects simultaneously, supervise, and manage time effectively.

  • Extensive experience in PC environment using MS Word, Excel, Eudora, databases.

  • Good judgment to assess and handle non-routine situations

  • Multicultural competencies; knowledge and experience working and interacting effectively with diverse groups of staff, faculty, and student populations.

Preferred Qualifications

  • Experience in an academic department or similar confidential environment.

  • Event planning experience.

  • Ability to update website information.

Salary & Benefits

Hourly Range: $23.47 $26.90, commensurate with experience.

OLAC is responsible for overseeing the centralized animal care and use program on the Berkeley campus. OLAC provides health care, research and teaching assistance, and housing facilities for all animals that are used for research and teaching on this campus. Reporting to Financial Analyst 3, the Blank Assistant III will provide general administrative support to Office of Laboratory Animal Care (OLAC). Responsibilities * Front Office Coordinator: Develop systems and procedures to improve front office operations of OLAC. Office Reception – Serve as the visible representative and primary contact person for OLAC, answering doorbells at main entrances, helping with inquiries in person at the office front desk, by phone, or email and redirect them to the proper person for response. Responds to a wide array of questions from the University community and from the public. Assists visitors as necessary. Key/Access codes/Building Entry –serves as department Key Card Access Control as per UCPD requirements. Check the key card authorization requests, processes appropriately, including preparation and submission of appropriate building card key form to UCPD for key activation. Under direction of department managers, arranges for re-keying of rooms, processes and submits all key service requests. * Travel & Entertainment Reimbursements: Reviews and audits Travel and Entertainment reimbursement packets for accuracy, ensuring compliance with travel policies, applicable U.C., State, Federal policies and procedures and departmental policies. * Vendor Purchasing: Initiates and tracks requisitions in the University accounting systems for check reimbursements, purchase orders and credit card purchasing.
