POSITION SUMMARY: The Department Coordinator will provide administrative support to the Director by ensuring a wide range of complex and confidential administrative, clerical and billing support tasks are efficiently and effectively implemented. Must have strong interpersonal skills, ability to provide information and service to a wide range of internal and external contacts, ability to manage multiple tasks at once.


1. Provide general administrative and clerical support including mailing, scanning, faxing, copying to management and routing documents for signature. 2. Prepare and modify documents including correspondence, reports, drafts, memos and emails. 3. Maintain electronic and hard copy filing system. 4. Open, sort and distribute incoming correspondence 5. Perform data entry and scan documents. 6. Updating records using computer database and spreadsheet software 7. Answering the telephone and dealing with inquiries 8. Receive, sort, distribute incoming and outgoing mail, faxes, and packages and prepare mailing labels and forms for shipment. 9. Monitor departmental materials and supplies and orders as needed. 10. Schedule and coordinate meetings, appointments and travel arrangements for department. 11. Maintains database of existing clinical trials payment schedules, collections and receivables. 12. Confirms all research service charges are captured and reviewed prior to release of charges. 13.

Prepares invoices as required by various study sponsors and manage collection of all outstanding receivables including milestone grid management. 14. Work with director, clinical research coordinators, department administrators and pharmacy to review and monitor appropriate expenses against budget. 15. Compiles and prepares reports regarding research billing for management, leadership, research personnel, and others as assigned. 16. Serve as a resource to study teams, investigators and departments in clinical research financial matters. 17. Applies knowledge of various documents (hospital policies, government and payer regulations, study protocols, informed consent, and coverage analysis to support billing processes and support organizational compliance efforts. 18. Investigates and resolves research billing errors including removal of charges from subject#s bills and transferring to the appropriate account. 19. Serves as an established resource for research billing. 20. Monitors appointment registrations of research patients for accuracy. 21. Compiles and prepares reports regarding research billing for management, leadership, research personnel, and others as assigned. 22. Assists in research billing monitoring, as needed. 23. Ensure bills and invoices are paid on time.     Demonstrate effective communication methods and skills, using lines of authority appropriately. 7. Demonstrate ability to appropriately delegate tasks and duties. 8. Identify and communicate problems in the department.

    Pursue feedback for resolution; actively participate in resolution methods. 9. Demonstrate and utilize effective leadership and decision-making skills 10. Demonstrate flexibility in working hours and shifts in order to meet staffing requirements in the department. 11.

    Regularly meet with supervisor and working group to discuss regulatory activities and to bring participants up-to-date with standards. Attend any other related or ad hoc meeting/conference. 12. Maintains professional growth and development through attendance of seminars, workshops or classes and/or keep current on latest trends in field of expertise. 13.

    Perform other duties as assigned or requested in order to meet the goals and objectives of the department and the institution. 14. Assumes responsibility for maintaining own current competency file.


Education: Associate or Bachelor degree is required.

Experience: 1-2 years# experience in research administration or finance in a clinical, academic or research setting preferred. Any appropriate combination of relevant education, experience and/or certifications may be considered. SKILLS: Excellent computer skills required.

Ability to coordinate and prioritize multiple tasks, projects and schedules. Must have excellent written and verbal communication skills and be able to work under minimal direction. Must be detail oriented, possess analytic and communication skills and be comfortable with advanced computer software such as spreadsheets and database programs.

Advise student and parent on financial air processes, financial aid eligibility and alternative sources of financial aid. Possess a working knowledge of federal and state regulations, and policies and procedure as it pertain to financial aid and admissions. Advise students and parents on student billing questions. Counsel student to assist them with their problems and continue to communicate until the issue is resolved. Answer inquiries in person, phone, e-mail and mail. Provide accurate referral regarding all aspect of students' academic and financial aid records and account information.
