The Department Coordinator for the College of Public Health's Social and Behavioral Sciences department reports to the Assistant Director of Administration and coordinates day-to-day administrative and operational support for the department. Primary responsibilities include the following: coordinate all purchasing and accounts payable processing, including purchase requisitions, consultant agreements, travel reimbursement, P-card transactions, and vendor invoices; review department non-compensation reports for accuracy; coordinate payroll documents, including adjunct, teaching assistant, and student worker hires; coordinate and prepare all new graduate student and adjunct faculty contracts and related payroll documents; assist in the adjunct faculty hiring process; and provide direction and supervision to student workers. In addition, the department coordinator will provide departmental operational support to the Chair and faculty, including but not limited to mail, office supplies, and filing; resolve various routine problems and answer questions under minimal supervision within established policies and procedures; maintain all inter- and intro-departmental correspondence; provide reception support to the department and respond to telephone and in-person inquiries with a position service orientation; manage calendars and schedule appointments, and maintain coverage in the departmental office.

Essential functions: Coordinates human resource activities for the department including hiring and separation procedures, recruitment and contract management, and onboarding of new team members; Assists department with new faculty hiring (coordinating interviews, presentations, schedules); Coordinates department socials and events; Operates as the timekeeper for part-time staff and students working in the department; Assists students and faculty with travel and conference expense reimbursements; Maintains current CVs and certifications for full- and part-time faculty; Manages the front office including ordering office supplies, answering the phone, welcoming students and guests to the suite; Maintains electronic records and provides information to program/department personnel as needed; Performs other related duties as assigned.

Required Education & Experience:

Bachelor's degree and at least two years of directly related administrative support experience. An equivalent combination of education and experience may be considered.

Required Skills & Abilities:

  • Demonstrated ability to prioritize work well and focus on completion of tasks.

  • Demonstrated ability to independently anticipate and identify problems, obstacles and opportunities and take decisive action to address them.

  • Strong written and oral communication skills along with the ability to interact with a diverse group of students, faculty and staff.

  • Demonstrated ability to operate all standard office equipment and software including MS Office.

  • Demonstrated ability to understand and apply University and College policies and procedures.

Preferred:

  • Advanced training in office management areas.

This position is temporarily assigned a hybrid work arrangement (on-campus and remote), the duration of this hybrid work arrangement is at the discretion of Temple University and the Department.
