Responsibilities

GENERAL PURPOSE:

The Rochester Education Justice Initiative (REJI) program coordinator will offer administrative support to all REJI operations. This includes support for REJI's college programs at Groveland, Attica, and Wyoming Correctional Facilities, and support for REJI's reentry initiatives. The program coordinator's primary responsibilities are behind the scenes, but they will interface directly with students, both in prison and on campus, and with community partners. Working under the Deputy Director, program coordinator will have primary responsibility for a variety of administrative tasks pertaining to scheduling, event planning, enrollment, registration, procurement, shipping, and expense reporting. Working with Faculty Coordinator and other REJI staff, program coordinator will help connect incarcerated students to learning opportunities. Working with REJI's Assistant Director of Community Engagement and REJI's reentry coordinator, program coordinator will help connect formerly incarcerated people to resources and connect students to community engaged work. Program coordinator will be primarily responsible for organizing gatherings for REJI staff, students, and partners, and public events that connect the campus to the community.

RESPONSIBILITIES:

Student and Justice Scholar support:

  • Provide in-person assistance to REJI students at Attica, Groveland, and Wyoming with important forms such as certificates of residence affidavits, high school and college transcript requests, and financial aid applications; process and transmit forms to third-party destinations as necessary.

  • Assist REJI reentry team (assistant director of community outreach and reentry coordinator) with the facilitation of transition services by distributing and collecting student reentry needs assessments, maintaining an accurate and up-to-date database of returning students, and organizing post-release student outreach.

  • Process Alumni Reentry Support Fund payments and Justice Scholar stipends through Workday.

  • Organize gatherings and plan public events

Records management:

  • Assist with the management of REJI college program registration and enrollment, including selecting courses for students, communicating with UR and GCC registrars and REJI instructors about course rosters, generating non-matriculated student registration forms, and managing rosters during add/drop periods.

  • Maintain accurate and up-to-date student records, including Education Justice Tracker data and unofficial degree progress reports.

Procurement and logistics:

  • Procure program materials (e.g., textbooks and student supplies) through internal requisitions, UR Marketplace suppliers, and third-party vendors via Pcard.

  • Plan and oversee packaging and delivery of materials to prison education program sites before and during academic semesters.

  • Reconcile transactions on ongoing basis.

Personnel support:

  • Assist with semesterly instructor hiring and onboarding processes, including posting and managing adjunct positions on FORT, composing and sending offer letters, and transmitting new-hire forms to relevant offices.

  • Assist with the distribution and collection of DOCCS volunteer applications for REJI instructors.

  • Assist with the planning of semesterly instructor orientations.

  • Create and submit expense reports for staff and instructors.

Outreach and marketing:

  • Regularly update and maintain REJI website and social media.

Other duties as assigned

QUALIFICATIONS:

  • Bachelor's degree required

  • At least one year of academic or professional engagement with an incarcerated or formerly incarcerated student population required

  • or equivalent combination of education and experience required

  • Expertise in protocols for interaction with individuals incarcerated by the New York State Department of Corrections and Community Supervision (NYS DOCCS) preferred

  • Intermediate productivity suite (Microsoft Office) skills; familiarity with online marketing platforms, e.g., Mailchimp; familiarity with CMS platforms, e.g., Cascade preferred

  • Active NYS DOCCS volunteer status preferred

Pay Range

Pay Range: $20.92 - $29.29 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
