Provides administrative/secretarial assistance and support to the Chairperson and to the Arts & Humanities Department using initiative and independent judgment in carrying out various functions of the position. Works closely with the Department Chairperson & Assistant Chairperson as a team member and serves as a representative of the department to students and the college campus.
Handles routine correspondence, generation of reports, preparing timesheets, submission of book orders, purchase orders, and budget transfers. Responsible for maintaining accurate department budget records including purchase requisitions, purchase orders, budget transfers. Must be able to prioritize workload and deal with sensitive information.
Serves as the department's first point of contact with students and the community. Must exhibit patience and sensitivity to working with those of diverse backgrounds. Assistant will at times work independently while taking initiative in the preparation and completion of special projects.
Qualifications
Two year Associate degree or some credits towards an Associate degree and 1-2 years secretarial experience OR high school graduate and 3-4 years of secretarial experience.

Related experience as noted above preferably in a school or academic setting.
Qualifications
Excellent communication skills. Knowledge of Microsoft Office (Outlook, Word and Excel). Able to work under pressure, patient, diplomatic, polite and able to foster camaraderie among department members.
Good phone skills and customer service skills. Attention to detail and must be self-motivated, must have sensitivity in handling confidential information; ability to keep accurate budgetary records. Familiarity with Ellucian Colleague and knowledge of the use of web conferencing tools, knowledge of online filing repositories would be a plus. Bilingual Spanish/English preferred.
