A Heartland Dental supported office is looking for responsible, determined Dental Office Assistant

  • Business Assistant to join our dental office. The Dental Business Office Assistant will handle various administrative tasks in our front office area. The Dental Business Office Assistant role plays an important part in communicating effectively with patients and maintaining an organized administrative schedule. Functions of the Dental Office Assistant

  • Business Assistant

The Dental Business Office Assistant will maintain and organize all administrative functions in the front office, including reception tasks - receiving and distributing office mail and email, answering the office phone and distributing calls or messages accordingly, communicating patients' arrival promptly, managing administrative records and pulling/filing office charts among other duties. The Dental Business Office Assistant will also work with administrative scheduling, including maintaining office records, documenting patient dental treatments and transactions, following office procedures for patient referrals and scheduling of office appointments. Other duties include maintaining office accounts receivable information, making financial arrangements with patients before treatments and ordering office and administrative supplies.

VIEW JOBS 4/1/2020 12:00:00 AM 2020-06-30T00:00 Purpose of the Position Benefits Supplemental Questions The purpose of this position, under general direction, is to perform general advanced administrative duties involving the Municipal Court. This is a part-time position of approximately 20 hours per week with flexible scheduling based on the candidate's availability and the department's needs. Hours of operation for the Municipal Court Department are Monday through Friday, 8:00 a.m. to 4:30 p.m. The Municipal Court Department consists of three (3) staff: the Municipal Court Judge, a full-time Administrative Assistant II, and a part-time Administrative Assistant II. The Administrative Assistant positions report to the Municipal Court Judge. Essential Duties and Responsibilities: * Responsible for administrative work of considerable responsibility and complexity. * Responsible for obedience of legal and judicial ethics including confidentiality. * Attend, participate in and keep notes of/at all Court proceedings (i.e. Initial Appearances, Pre-trials, Trials, Good Cause Hearings, Motion Hearings, etc.). * Maintain, keep and update Court files manually and via computer software. Prepare all correspondence and pleadings. * Maintain court calendar. * Notify DMV of all convictions, dismissals, suspensions (whether imposed or lifted), amendments, errors, reopened convictions, etc. * Complete necessary paperwork for installation of ignition interlock device when necessary. * Initiate TAX Intercept for failure to pay and notify defendants accordingly. * Prepare Warrants/Quash Warrants. * Run Driving Abstracts via E-Time (DOJ). * Correspond w/attorneys, city attorney's office, general public, judges, District Court Administrator, Circuit and Municipal Courts (whether written or verbal) * Ability to explain policies, procedures and regulations of the Court to legal professionals and the public * Attend annual Court Clerk's Seminar as well as quarterly Court Clerk's meetings. * Provide department information, gather data and prepare materials as required. * Prepare month-end reports allocating monthly revenues to the State of Wisconsin, Marathon County, and the City of Wausau. * Prepare yearly budget documents for approval by the Finance Department and City Council. * Provide administrative functions specific to the department. * Other duties as assigned. Minimum Requirements: Education and Experience Requirements * Associate Degree in a legal field of study, Administrative Professional, Business Management, or Certificate in a legal field of study * Minimum of 4 years of progressively responsible administrative experience * Any combination of experience and training which provides the equivalent knowledge, skills, and abilities Knowledge, Skills and Abilities MS-Word-Intermediate MS-Excel- Basic MS-PowerPoint- Basic * Typing speed minimum: 55 w.p.m. * Ability to classify, compute and tabulate data and information, following a prescribed plan requiring the exercise of some judgment. * Ability to compare, count, differentiates measure and sort information. * Ability to assemble, copy, record and transcribe data and information. * Ability to advise and provide interpretation to others how to apply policies, procedures and standards to specific situations. * Ability to utilize a wide variety of descriptive data and information, such as regulations, non-routine correspondence, billing statements, invoices, payroll records, time sheets, schedules and calendars, a variety of departmental reports, computer software operating manuals, ordinances, contracts and general operating manuals. * Ability to communicate orally and in writing with Department personnel, other City department personnel, and citizens. * Ability to add and subtract, multiply and divide, and calculate percentages, fractions, and decimals. * Ability to use functional reasoning in and independently apply rational judgment in performing diversified work activities. * Ability to exercise the judgment, decisiveness and creativity in situations involving a variety of pre-defined duties subject to frequent change. * Ability to operate, maneuver and/or steer equipment and machinery requiring simple but continuous adjustments, such as computer keyboard/terminal, calculator, multi-line telephone, photocopier, fax machine and computer printer. * Ability to coordinate eyes, hands, feet and limbs in performing skilled movements such as rapid keyboard use. * Ability to exert light physical effort in sedentary work.
